Scheduling Manager

About the Role
We are seeking an experienced Scheduling Manager to lead the coordination of installation crews, rental deliveries, and pickups for our awning installation and tent rental business. This role is critical to ensuring jobs are completed on time, resources are allocated efficiently, and customers receive a seamless experience from booking through completion. You'll work on-site, managing a dynamic schedule that shifts with weather, seasonal demand, and event timelines.
Key Responsibilities
Build and manage the master schedule for awning installations, tent rentals, deliveries, setups, and teardowns
-Coordinate daily/weekly schedules for installation crews and delivery drivers, balancing workload and travel time
-Serve as the primary point of contact between sales, customers, and field crews regarding job timing and logistics
-Monitor weather forecasts and adjust schedules proactively for outdoor installations and events
-Track equipment and inventory availability to prevent double-booking of tents, awnings, and related materials
-Communicate schedule changes promptly to crews, customers, and management
-Resolve scheduling conflicts and last-minute changes (rush orders, cancellations, weather delays)
-Maintain accurate records in scheduling/dispatch software and generate reports on crew utilization and job completion
-Supervise and support scheduling/dispatch staff, if applicable
-Identify opportunities to improve scheduling efficiency and reduce downtime
-Collaborate with sales and operations leadership on capacity planning during peak seasons
Qualifications
-Previous experience in scheduling, dispatch, logistics, or operations management, ideally in a field service, construction, event, or rental industry
-Proven ability to manage multiple moving parts and prioritize under pressure
-Strong communication and problem-solving skills
-Comfortable using scheduling, dispatch, or field service management software. Strong excel and Quickbooks skills.
-Experience supervising or coordinating a team preferred
-Ability to work on-site and adapt to a fast-paced, seasonal business environment
-Valid driver's license (may be required for occasional site visits)
Pay: $24.00 - $27.00 per hour
