Texas Neurology Consultants, PLLC is seeking a professional, highly organized Medical Front Office Specialist to serve as the first point of contact for our busy office. You will balance patient-facing customer service with vital administrative tasks to keep our clinic running efficiently. The ideal candidate has excellent multitasking abilities, a warm demeanor, and a solid understanding of medical office workflows. This position is full-time. Hours are Monday to Thursday, 7:45 AM – 5:00 PM, Friday 7:45am to noon.
Key Responsibilities
Patient Reception & Check-In
- Greet patients and visitors warmly upon arrival to establish a welcoming environment.
- Manage the patient check-in and check-out processes efficiently.
- Distribute, explain, and collect necessary intake forms and new patient paperwork.
- Verify patient identity and scan insurance cards into the Electronic Health Records (EHR) system. Accurately enter/update patient demographics and insurance information.
- Notify clinical staff and physicians of patient arrivals to maintain steady clinic flow.
Scheduling & Communication
- Answer incoming multi-line phone calls with proper medical telephone etiquette.
- Schedule, reschedule, and confirm patient appointments based on provider availability.
Financial & Administrative Support
- Collect patient co-pays, deductibles, and outstanding account balances during check-out.
- Coordinate insurance verification and assist with tracking patient referrals.
- Maintain standard office inventory by monitoring, ordering, and organizing administrative supplies.
Compliance & Safety
- Protect patient confidentiality by strictly adhering to all HIPAA rules and guidelines.
- Secure physical medical files and log off computers when leaving the front desk unattended.
- Maintain a clean, sterile, and professional appearance in the waiting area and reception lobby.
Skills and Qualifications
- Education: High school diploma or equivalent required.
- Experience: Minimum of 1–2 years of experience working in a medical front office or a clinic reception role.
- Technical Skills: Proficiency with medical scheduling software and Electronic Health Records (EHR) systems.
- Soft Skills: Outstanding verbal and written communication skills with a strong focus on empathetic customer service.
- Multitasking: Proven ability to manage ringing phones, computer data entry, and in-person patient questions simultaneously.
- Knowledge: Basic understanding of healthcare insurance plans and foundational medical terminology.
