Due to our continued growth, we are searching for a Customer Service Representative for our North Carolina Branch Office to join our growing team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Operates by Gold Medal's core values: Honesty, Integrity, and Respect.
- First in line to answer phone calls and assist walk-in customers. Is knowledgeable of all Gold Medal products and services. Upsell products & suggestive selling of applicable products for additional sales.
- Receives orders from company e-mail address and phone-in customers, enter orders, prints invoices in timely fashion. Properly files invoices in route mailbox located in the warehouse for fulfillment by warehouse. Updates invoices on backorders and add-ons. Calls customers to inform them of out of stock products and possible substitutions.
- Provides customer service to all walk-in customers. Receives orders and processes cash and credit card payments. Properly accounts for each transaction on daily cash log. May be required to assist filling orders for walk-in customers with items located in the front office.
- Records invoices for memo bills for trials, loaners and profit share accounts. Monitors sales to these accounts and notifies Branch Manager of opportunities.
- Enters special pricing for all approved accounts. Monitors pricing on all accounts for discounts and special requests. Informs Office Manager & Branch Manager of special needs.
- In charge of all shipments, inbound scheduling and outbound LTL’s. Creates BOL’s, UPS labels and invoices for outbound freight including all LTL’s and UPS. Provides quotes on any outbound freight or UPS to the customer.
- Research discrepancies on orders (e.g. overages, shortages, duplicate deliveries, etc.) for the purpose of correcting errors and/or returning damaged product. Write up credit for customers to be processed by the Office Manager.
- Assists Service department on service invoices. Provides customer service to service customers. Receiving payments for work performed and properly filing all service work. Assists in receiving service work. Proper follow through on receiving service work by following process outlined by Branch Manager. Manages spreadsheet of work provided to the customer.
- Maintains proper State sales tax exemption certificates for all customers.
- Assists Sales Team with ordering and special requests and Branch Manager on assigned duties.
- Files all documents (invoices, cash log and memo bills, etc.) timely and accurately.
- Keeps the office and showroom areas clean and attractive for walk-in customers. In charge of properly stocking the front racks with supplies and merchandising front area racks for walk in traffic.
QUALIFICATIONS:
- Minimum 2-3 years of experience in a Customer Service position preferred.
- Proficient in Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- Ability to prioritize and handle multiple tasks and projects.
- Strong attention to detail.
