Brickbox Development is seeking an organized and detail-oriented Construction Administration Manager to support our construction, maintenance, and capital improvement projects throughout our portfolio of commercial assets.
This position will work closely with ownership, property managers, construction managers, contractors, vendors, and consultants to ensure projects remain organized, compliant, and on schedule. The ideal candidate will have previous experience in construction administration, project coordination, or construction management support and be comfortable managing multiple projects in a fast-paced environment.

Responsibilities
- Manage project documentation, contracts, proposals, permits, RFIs, and change orders
- Coordinate communication between different departments, contractors, vendors, and consultants
- Track project schedules, inspections, deadlines, and project milestones
- Obtain and organize bids from contractors and vendors
- Process invoices, purchase orders, and project-related documentation
- Maintain insurance certificates, licenses, permits, and compliance records
- Schedule project meetings and prepare reports, updates, and meeting notes
- Monitor ongoing maintenance, repair, and capital improvement projects
- Support ownership and property managers with administrative and project-related tasks
- Maintain organized project files and ensure all documentation is accurate and up to date
- Assist with vendor onboarding and contract management
- Help identify opportunities to improve project efficiency and administrative processes
- Assist with payment application completeness and draw required compliance
Qualifications
- Previous experience in construction administration, project coordination, property management, or a related field
- Strong organizational and multitasking abilities
- Excellent communication and customer service skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Experience with project management software (Procore or equivalent)
- Experience with QuickBooks and general financial acumen preferred
- Ability to prioritize tasks and meet deadlines
- Strong attention to detail and problem-solving skills
- Ability to work professionally with board members, contractors, and vendors
Pay: $80,000.00 - $90,000.00 per year
