Florentine Cafe & Bakery We are seeking an enthusiastic and highly organized Entry-Level Personal Assistant to support busy executives and teams with a wide range of administrative and operational tasks. Responsibilities
- Manage and coordinate calendars for executives, including scheduling meetings, appointments, and business travel arrangements using Microsoft Outlook Calendar and other productivity software
- Handle internal communication efficiently through email correspondence, phone etiquette, and video conferencing software to ensure seamless information flow
- Assist with organizing events, meetings, and conferences from planning stages to execution, including venue booking, catering arrangements, and materials preparation
- Support bookkeeping and data entry tasks using QuickBooks and other accounting tools while maintaining accurate records of financial transactions
- Provide executive administrative support by preparing reports, proofreading documents, transcribing notes, and managing filing systems
- Facilitate office management duties such as managing multi-line phone systems, handling confidential information with discretion, and overseeing general office supplies and filing
- Collaborate closely with C-suite executives on project coordination efforts and internal initiatives to enhance productivity and organizational efficiency
Qualifications
- Previous experience as a personal assistant or administrative assistant is preferred but not required; strong organizational skills are essential
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with productivity software such as DocuSign and video conferencing tools
- Excellent typing speed along with strong writing skills for correspondence and documentation purposes
- Ability to handle multiple tasks efficiently while maintaining attention to detail in a fast-paced environment
- Experience with event planning, project management, bookkeeping (QuickBooks), and office management is highly desirable
- Strong interpersonal skills including phone etiquette, collaboration abilities with diverse teams, and professionalism when dealing with confidential information
- Technical proficiency in using data entry systems, clerical tools, multi-line phone systems, and business travel arrangements
