Job Overview
We are seeking a Commercial Insurance Service Specialist who provides administrative and policy servicing support for commercial insurance accounts, with a primary focus on Certificates of Insurance (COIs), policy documentation, and day-to-day account servicing. This position supports Account Managers by maintaining accurate policy records, processing certificates, coordinating policy changes, and delivering exceptional service to clients.
We welcome applications from both licensed and unlicensed candidates. An active Texas General Lines Property & Casualty insurance license is preferred but not required. Employees who are not licensed will perform duties permitted under Texas law and agency guidelines. Responsibilities requiring licensure—including providing insurance advice or recommendations, interpreting policy coverage for insureds, negotiating coverage, or performing other regulated insurance activities—will be handled by or escalated to a licensed Account Manager.
Responsibilities
- Process and prepare a high volume of Certificates of Insurance (COIs), including lender, vendor, contractual, and additional insured requests.
- Review contractual insurance requirements and prepare certificates in accordance with policy documentation and agency procedures.
- Review policy declarations, forms, and endorsements to verify certificate information and identify questions requiring review by a licensed insurance professional.
- Prepare certificates reflecting additional insureds, waiver of subrogation, primary and non-contributory wording, mortgagees, loss payees, and other standard certificate requests based on existing policy documentation.
- Assist with servicing commercial insurance accounts across General Liability, Commercial Property, Umbrella/Excess Liability, Commercial Auto, Workers' Compensation, Crime, Inland Marine, and other commercial coverages.
- Enter, update, and maintain client, policy, certificate, and endorsement information within the agency management system.
- Request endorsements, policy changes, audits, loss runs, and other servicing items from insurance carriers and wholesalers as directed.
- Assist with renewal preparation by organizing applications, exposure information, policy documents, and renewal correspondence.
- Respond promptly and professionally to routine client, lender, carrier, vendor, and property manager inquiries.
- Review policy documents and endorsements for completeness and identify discrepancies for review by a licensed Account Manager.
- Maintain organized electronic files and documentation in accordance with agency procedures and compliance standards.
- Follow established workflows, service timelines, quality standards, and agency procedures.
- · Escalate coverage questions, policy interpretation requests, recommendations, or other activities requiring licensure to a licensed insurance professional.
Qualifications
- High school diploma or equivalent required.
- Active Texas General Lines Property & Casualty insurance license preferred, but not required.
- Both licensed and unlicensed candidates are encouraged to apply.
- One (1) year of experience in an insurance agency, brokerage, carrier, or related insurance environment preferred.
- Experience processing Certificates of Insurance (COIs) strongly preferred.
- Experience working with commercial insurance policies, including Excess & Surplus (E&S) business, is preferred.
- Candidates who are not currently licensed should demonstrate the aptitude and willingness to obtain a Texas General Lines Property & Casualty License, should future responsibilities require licensure.

· Ability to review policy documents, declarations, and endorsements for administrative servicing purposes while recognizing when licensed review is required.
· Strong attention to detail and commitment to accuracy, particularly in COI preparation and policy documentation.
· Excellent written, verbal, and interpersonal communication skills.
· Strong organizational and time management skills with the ability to manage multiple priorities in a deadline-driven environment.
· Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
· Ability to quickly learn agency management systems, carrier portals, and insurance technology platforms.
Pay: $48,000.00 - $60,000.00 per year
