Overview
Alpine Earthworks and Alpine Snowworks are seeking a highly organized, dependable, and motivated Administrative Assistant to support the daily operations of both companies. This position plays a key role in ensuring our excavation and snow removal operations run efficiently by providing administrative and customer service. The ideal candidate is proactive, detail-oriented, thrives in a fast-paced environment, and is comfortable balancing multiple priorities throughout the year.
As the Administrative Assistant, you will work closely with the Operations Director and ownership team to assist with scheduling, customer communication, accounting, and general office administration. During the winter season, you will help support the high demands of snow operations, while the summer months focus on excavation, trucking, and construction projects.
What You'll DoAdministrative Support
- Answer incoming phone calls, emails, and customer inquiries in a professional and timely manner.
- Manage calendars, schedule meetings, and coordinate appointments for management.
- Maintain organized digital and physical filing systems for customer records, contracts, permits, and project documentation.
Customer Service
- Serve as the primary point of contact for customer questions regarding excavation, trucking, and snow removal services.
- Maintain positive relationships with homeowners, contractors, property managers, HOAs, and commercial clients.
Operations Support
- Assist the Operations Director with scheduling crews, equipment, trucking, and subcontractors.
- Help coordinate daily excavation and snow removal schedules.
- Support permitting, utility locates, and project documentation as needed.
Winter Snow Operations
- Monitor incoming customer requests and communicate schedule updates.
- Assist with preparing seasonal contracts, customer renewals, and billing.
- Help coordinate weather communications and operational updates.
- Support after-hours communication during major snow events when necessary.
Marketing & Business Support
- Assist with maintaining customer databases and CRM information.
- Help coordinate marketing materials, social media content, and company events.
- Update customer mailing lists, and promotional materials.
- Support recruiting efforts by posting job openings and scheduling interviews.
Qualifications
- Previous administrative, office management, or accounting experience preferred.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace.
- Strong computer skills with the ability to quickly learn new software and technology.
- Excellent written and verbal communication skills.
- Strong organizational skills with exceptional attention to detail.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Professional customer service skills with a positive attitude.
- Ability to work independently while supporting a team environment.
- Experience in the construction, excavation, trucking, landscaping, or snow removal industry is a plus but not required.
- Bilingual (English/Spanish) is a plus.

Pay: $26.00 - $32.00 per hour
