Lake Nona Behavioral Health Services and Lake Nona TMS is seeking a detail-oriented, proactive, and compassionate Front Desk Associate to join our growing clinical operations team. As the first point of contact for our patients, you will set the tone for their care experience by providing exceptional customer service and ensuring the smooth, efficient operation of our front office.
The ideal candidate possesses excellent communication skills, thrives in a fast-paced medical environment, and can seamlessly balance patient care with precise administrative duties. This role offers an incredible opportunity to contribute significantly to a dedicated mental health practice while managing specialized workflows, including support for our Transcranial Magnetic Stimulation (TMS) therapy program.
Duties
- Manage front desk operations, including welcoming and checking in patients.
- Answer and manage phone calls with professionalism and excellent phone etiquette.
- Perform accurate data entry and maintain organized records.
- Assist providers with scheduling management and coordinate patient appointments.
- Respond to patient requests and provide timely support.
- Use Microsoft Office and Google Workspace for document preparation, communication, and record-keeping.
- Proofread documents to ensure accuracy, clarity, and professionalism before distribution.
- Collaborate with team members to improve and streamline office workflows
- Assist with routing patient requests, managing medical records, and performing preliminary tasks such as verifying demographic and basic insurance information.
- Act as a administrative touchpoint for our TMS (Transcranial Magnetic Stimulation) patients—assisting with their unique daily scheduling needs, coordinating documentation, and tracking engagement.
Skills
- Strong organizational skills with the ability to prioritize tasks effectively
- Bilingual capabilities are a plus for enhanced communication with diverse patients
- Previous clerical or administrative experience is preferred, including roles in the medical administration field
- Familiarity with office management practices and procedures
