Position Overview:
Responsive Centers is seeking a highly organized and detail-oriented Practice Manager to oversee the daily operations of our practice. The Practice Manager will play a critical role in ensuring the smooth and efficient functioning of the office, supporting both our clinical staff and clients. This position requires a proactive individual with excellent communication skills and a commitment to maintaining a professional and welcoming environment.
Key Responsibilities:
Administrative Management:
- Oversee all administrative functions, including scheduling, client intake, and office communications.
- Manage the front desk, ensuring a positive and professional first point of contact for clients and visitors.
- Maintain office supplies and equipment, coordinating repairs and orders as needed.
Financial Operations:
- Monitor and manage office budgets, expenses, and financial records.
- Assist in payroll processing and maintain accurate employee records.
HR and Staff Support:
- Coordinate onboarding and training for new employees, ensuring they are familiar with office policies and procedures.
- Manage staff schedules, including time-off requests and coverage arrangements.
- Serve as a liaison between staff and management, addressing any administrative concerns or needs.
Client Relations:
- Ensure a high level of client satisfaction by providing excellent customer service and addressing any concerns promptly.
- Manage client records, ensuring confidentiality and compliance with HIPAA regulations.
- Coordinate with Providers and other staff to facilitate smooth client flow and appointment scheduling.
Office Coordination:
- Plan and organize office events, meetings, and staff functions.
- Develop and implement office policies and procedures to improve efficiency and workflow.
Technology and Systems Management:
- Oversee office technology, including computer systems, software, and phone systems.
- Troubleshoot basic IT issues and coordinate with external IT support when necessary.
Qualifications:
- Experience in office management or a related administrative role, preferably in a healthcare or mental health setting.
- Proficiency in office software, including Microsoft Office Suite and EHR systems.
- Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with a focus on customer service.
- Knowledge of billing and insurance processes is a plus.
- Ability to handle sensitive information with confidentiality and professionalism.

Pay: $55,000.00 - $70,000.00 per year
