Job Summary
The Safety Clerk plays a key role in supporting the Safety Department by auditing Hours of Service (HOS), preparing documents, assisting drivers, and maintaining accurate compliance records. This position requires strong attention to detail, excellent customer service, and the ability to work in a fast-paced environment.

Essential Duties & Responsibilities
- Assist drivers and operations with HOS questions, training, and troubleshooting ELD issues.
- Prepare and maintain safety documentation: Safety Notices, training records, certificates, gate passes, registrations, and supporting documents.
- Greet and assist drivers and staff in-person and by phone with a professional customer service attitude.
- Respond to inquiries, take messages, and direct communication to the appropriate departments.
- Participate in the Driver Identification program and assist with driver onboarding processes as required.
- Enter, organize, and maintain records in safety systems and databases.
- Support safety staff with clerical tasks, reports, incident follow-up, and compliance documentation.
- Update and maintain the Safety Department communication board/window.
- Assist in scheduling training sessions and distributing safety materials.
- Collaborate with the Safety Team on inspections, ELD malfunctions, and compliance reviews.
- Additional duties as needed within the department.
Qualifications
Required:
- High School Diploma or GED.
- 1–2 years of experience in administrative, safety, or trucking/logistics-related roles.
- Strong computer skills (Microsoft Office, document management, email communication).
- Excellent written and verbal communication skills.
- Ability to follow instructions accurately and work under pressure to meet deadlines.
- Bilingual (English/Spanish) required.
- Strong customer service and interpersonal skills.
Preferred:
- Experience with HOS, ELD systems (e.g., Samsara, KeepTruckin, Omnitracs, etc.).
- Knowledge of DOT/FMCSA rules and transportation compliance.
- Experience working in a trucking, transportation, or logistics environment.
Physical Requirements
- Ability to sit for extended periods.
- Ability to stand for up to 2 continuous hours.
- Use hands to handle documents, keyboards, and office equipment.
