We are seeking a friendly, organized, and professional Front Desk Receptionist to serve as the first point of contact for our Talent. This position requires excellent communication skills, strong attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.
The ideal candidate must be proficient with computers, email communication, scheduling, and general office systems. Familiarity with the Square payment system is required, including processing payments, sending invoices, and providing receipts.
Key Responsibilities
- Welcome and assist clients, talent, parents, and visitors
- Answer phone calls, emails, and general inquiries professionally
- Schedule appointments, classes, meetings, and consultations
- Process payments and invoices through the Square payment system
- Maintain accurate client records and update information as needed
- Assist with registrations, paperwork, and front-office organization
- Communicate important reminders, updates, and scheduling information
- Keep the reception and common areas clean, organized, and welcoming
- Provide general administrative support to management and team members
- Manage the TEXLA class schedule email, including adding and updating QR codes as needed.
- Attend talent searches
- Attend and organize photo shoots
- Attend and assist at all talent searches, and classes.
- Prepare and maintain new student folders.
- Create and send invoices for all new students.
- Maintain and organize all student documentation, ensuring records are complete and up to date.
- Set up alumni on Subscription platform after graduating program
- Complete minor administrative tasks during office hours, including sending emails related to declined payments on the day they occur.
- Mop all studio floors.
- Reset, organize, and clean the office.
- If a teacher leaves before tasks are completed, the Office Administrator is responsible for ensuring all closing duties are finished.

Qualifications
- Strong computer and email skills
- Familiarity with the Square payment system
- Excellent verbal and written communication skills
- Friendly, dependable, professional, and customer-service focused
- Strong organizational and multitasking abilities
- Comfortable working with adults, children, and parents
- Ability to handle confidential information professionally
- Previous receptionist, customer service, or administrative experience is preferred
