The Operations and Facility Manager is responsible for overseeing the day-to-day activities of the Flickinger Center for the Performing Arts. The primary focus of this role is to ensure that all operations are carried out efficiently, on schedule, and within budget. Key responsibilities include the planning and execution of daily, weekly, monthly, quarterly, seasonal, and annual tasks related to the successful delivery of programs and maintenance of the facility. This includes ensuring that all necessary resources—space, equipment, and personnel—are properly scheduled and in place.
Key Duties and Responsibilities
- User group rentals: In close collaboration with Executive Director and Admin Assistant, implements all Flickinger Center and Patrons Hall rental agreements and arrangements for each, to include booking technical direction or sound and lighting technician. Maintains electronic and physical copies and ensures all pertinent details are recorded in the FCPA calendar and disseminated in a timely manner to all employees and contractors. Assists with event settlement maintaining accurate records of all related pre-approved event expenses.
- FCPA show (Premiere Series, stand-alone and/or specials) preparation: Utilizes event calendar systems, produces event maps, briefing fact sheets and maintains detailed event notes and collects post-event recap information. Manages pre-show preparations in conjunction with Executive Director, Technical Director, Box Office staff, Marketing contractor, Bookkeeper, and Front-of-House Manager. This may include execution of artist hospitality and technical riders, pre- and post-concert receptions, sponsor and donor ticket distribution, marquis posters and other signage, point of contact with City and County agencies requiring permission of use and/or services required for events. Assists as liaison with facility security services, City police, Sheriff and first responders.
- Facility Management and Maintenance: Ensures the theater is compliant with all local, State and Federal safety guidelines, it is clean, safe, and well-maintained before, during, and after events by in-person inspection. Manages the execution and oversight of the facility Maintenance Schedule which includes HVAC, and MEP. Perform tasks of regular maintenance, such as replacement of filters, and coordinates maintenance contracts and requests to vendors where applicable.
- Janitorial Coordination: Oversees scheduling of janitorial services and orders all products and equipment required to complete these tasks.
- Emergency Preparedness: Develops plan with Executive Director and implements emergency procedures, ensuring staff and volunteers are trained accordingly.
- Post-Show Duties: Oversees post-show procedures, including ticket reconciliation, cash handling, and facility cleanup.
- Educational Outreach Shows: Ensure all public, private and homeschool children, teachers, and parents are informed of the Educational Outreach shows. Keep records of reservations for each show, design seating charts for all schools, and in cooperation with the Guild, work with FOH Manager and volunteers to obtain ushers for shows.
Qualifications:
- Excellent interpersonal skills, strong organizational and time management skills and ability to work under deadlines
- Knowledge of MEP preferred
- Experience in event management preferred
- Knowledge of theater operations and industry standards preferred
- Must pass a criminal background check
This position requires evening and weekend availability, the ability to monitor equipment in all building locations as well as the ability to stand for extended periods. Attendance at all theater scheduled events is required.
