About the Position
As our Service Advisor Assistant, you'll be the organizational backbone of our front office. You'll assist with administrative tasks, customer communication, inventory management, parts processing, and keeping our repair workflow moving efficiently.
This role combines office work with light physical activity throughout the day. One hour you may be entering vehicle information into our shop management software, and the next you may be receiving parts deliveries, organizing inventory, or helping prepare repair orders.
The ideal candidate enjoys working on a computer for extended periods while also appreciating opportunities to stay active throughout the day.
Responsibilities
Assist Service Advisors with daily administrative tasks
Create and maintain digital repair orders
Enter customer and vehicle information accurately into shop management software
Verify customer information and service history
Answer incoming phone calls professionally
Schedule customer appointments
Respond to customer inquiries via phone, email, and text
Update customers on repair progress
Order, receive, and check in automotive parts
Verify parts accuracy against repair orders
Label and organize incoming inventory
Maintain parts inventory and stock levels
Coordinate with vendors regarding parts availability
Scan, upload, and organize digital documents
Assist with estimates and customer communication
Prepare invoices and paperwork for vehicle pickup
Maintain organized customer files and repair records
Support workflow between technicians and Service Advisors
Assist with inventory counts and shop organization
Help maintain a clean, professional front office
Perform other administrative and operational duties as needed
Qualifications
Excellent computer and technology skills
Comfortable learning new software and shop management systems
Strong typing and data entry abilities
Exceptional attention to detail
Highly organized with excellent time management
Able to prioritize multiple tasks in a fast-paced environment
Professional phone etiquette
Friendly and customer-focused attitude
Excellent verbal and written communication skills
Reliable, dependable, and self-motivated
Comfortable walking throughout the shop and lifting automotive parts up to 40 pounds
Valid driver's license
High School Diploma or GED
Preferred Qualifications
Previous administrative assistant experience
Customer service experience
Receptionist or office assistant experience
Inventory management experience
Parts department experience
Automotive knowledge is helpful but not required
Experience using Microsoft Office, Google Workspace, or CRM software
Bilingual (English/Spanish) is a plus
