ABOUT THE POSITION
CENTURY 21 Premier is seeking a friendly, dependable, and organized Front Desk & Administrative Support Coordinator to help create a welcoming and professional environment for our agents, clients, and visitors.
This person will serve as the first point of contact for the office, providing front-desk, administrative, listing entry, and general operational support to our real estate agents and leadership team. The ideal candidate enjoys helping people, solving problems, staying organized, and managing a variety of responsibilities throughout the day.
Prior real estate experience is helpful but not required. We are willing to train the right person who has a positive attitude, strong attention to detail, and a willingness to learn. Consistent schedule with no evenings or weekends
PRIMARY RESPONSIBILITIES
- ● Greet agents, clients, vendors, and visitors in a friendly and professional manner.
- ● Answer, screen, and direct incoming phone calls and take accurate messages.
- ● Monitor the general office email and assist with routine communications.
- ● Provide administrative support to agents and office leadership.
- ● Enter new property listings and contracts into the appropriate office and real estate systems.
- ● Review submitted information for completeness, and accuracy and notify the appropriate agent or manager when information is missing.
- ●Facilitate receipt of earnest money and coordinate communication with accounting, staff, and agents.
- ● Maintain organized electronic and paper records while protecting confidential information.
- ● Assist agents with basic technology questions and company tools. (CRM, MLS support, etc.)
- ● Receive, sort, and distribute mail, packages, and deliveries.
- ● Help maintain a clean, organized, and welcoming reception area and shared office spaces.
- ● Keep track of commonly used office supplies and prepare a list of needed items approximately once a month.
- ● Assist with scheduling meetings, conference rooms, training sessions, and office activities as requested.
- ● Help prepare for weekly meetings, agent training, company events, and office functions.
- ● Prepare documents, reports, presentations, flyers, and other office materials as needed.
- ● Communicate office updates, announcements, and reminders to agents.
- ● Assist with general record keeping, reports, data entry, and special administrative projects.
- ● Perform other reasonable office-support duties as assigned.
- ● Assist with creating flyers, social media graphics, and marketing materials using Canva and other company tools.
- ● Learn and utilize company technology, including AI tools, to improve efficiency and support office operations.
- ● Staff events and assist with the internal newsletter.
- ● Help onboard new agents and maintain agent files.
QUALIFICATIONS
- ● High school diploma or GED required.
- ● Previous administrative, customer service, receptionist, or office experience preferred.
- ● Real estate office or listing-entry experience is a plus but not required.
- ● Strong verbal and written communication skills.
- ● Friendly, professional, and service-oriented personality.
- ● Excellent organizational and time-management skills.
- ● Strong attention to detail and ability to follow established procedures.
- ● Comfortable managing multiple priorities and changing demands.
- ● Ability to maintain confidentiality and use good judgment.
- ● Dependable, punctual, and able to work independently.
- ● Proficient with email, Microsoft Office, Google Workspace, CANVA, AI tools, Zoom, and general office technology.
- ● Comfortable learning new software and helping others with basic technology questions.

Pay: $18.00 - $22.00 per hour
