Job Title: Sales and Marketing Office Administrator

Job Summary
We are seeking a detail-oriented and proactive Sales and Marketing Office Administrator to provide essential operational and administrative support to our Sales and Marketing team. In this role, you will help ensure accurate reporting, and efficient coordination between sales, customers (retailers/distributors), and internal teams like logistics, marketing, and finance. You’ll play a key behind-the-scenes part in driving sales efficiency for our portfolio.
Key Responsibilities
- Weekly/Monthly reporting from key customer databases:
- Dollar General
- Circana
- Scintilla--Walmart
- Sams Club
- Reporting to include logging into database, pulling week to date, month to date and YTD sales figures into an easy to read and understand recap
- Prepare and distribute weekly/monthly sales reports, including performance against goals, IRI/Nielsen syndicated data analysis, and market share insights.
- Support the sales team with administrative tasks such as scheduling meetings, preparing presentations and sales materials, managing samples, and coordinating travel or broker activities.
- Act as the inside knowledge bank for information to the Sales team around logistical, shipping and inventory issues
- Assist in preparing for customer meetings, trade shows, or retailer presentations by compiling data and creating supporting documents.
- Assist in providing reordering of office needs for Sales/Marketing around coupons, sales materials etc.
- Creation of system and ongoing ownership of consumer inbound communication (Emails / coupons, questions, etc.)
- Partnership with Quality to ensure complaints are addressed in timely manner and escalated as necessary
- Bring sales and marketing issues to dept attention for customer intervention as needed (e.g. Consumers write that they can’t find LTG in Costco in Ohio)
- Provide quarterly updates to LT on trending topics / communication from consumers
- Management of consumer database - consumers who elect to hear from us via email, phone, etc.
- Execution of monthly email outbound community building strategy
- Shopper & Couponing Programs
- Set up and tracking of all coupons via INMAR and discounts / rebates via programs, such as ibotta
- Sales Operations functions
- Own LTG asset management (ensure assets are up-to-date and correct at all customer accounts via 3rd party portals for LTG images (Syndigo, 1WorldSync, Neilsen Brandbank, and other customer specific systems, etc.))
- Product set up in GS1 (partnership with Mktg, Ops and R&D to ensure all data is set up correctly and accurately as we create new products) for a seamless launch and push to 1WorldSynch
Qualifications & Requirements
- 2+ years of experience in sales administration, sales support, or customer service, ideally within the CPG, food & beverage, or retail industry.
- Strong understanding of CPG-specific processes (e.g., working with grocery retailers, distributors, brokers, IRI/Nielsen data, promotions, and deductions).
- Proficiency in Microsoft Office Suite (especially Excel for reporting and data analysis)
- Excellent organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Strong communication skills (written and verbal) with the ability to interact professionally with internal teams and external customers.
- Experience with order processing systems, EDI transactions, or syndicated sales data is a plus.
- Bachelor’s degree in Business, Marketing, Supply Chain, or related field preferred (or equivalent experience).
