Renewal Coordinator:

Schedule: 32 hours per week to start, with the expectation of transitioning to 40 hours per week based on business needs and performance (Monday-Friday)

Position Summary:
Forester Family Medical Supply is seeking an organized, dependable, and patient-focused Renewal Coordinator to manage recurring medical supply orders and ensure patients continue receiving their necessary supplies without interruption.
This position requires consistent communication with patients, caregivers, medical providers, insurance companies, and internal departments. The ideal candidate will be detail-oriented, comfortable managing multiple deadlines, and committed to providing excellent customer service.
Primary Responsibilities
- Manage assigned patients who receive recurring or renewal medical supplies.
- Contact patients or caregivers to confirm their continued need for supplies, current quantities, product changes, and delivery information.
- Review upcoming renewal dates and begin the process early enough to prevent delays in service.
- Obtain updated prescriptions, chart notes, letters of medical necessity, authorizations, and other required documentation.
- Follow up with medical providers according to company procedures.
- Verify patient demographics, insurance eligibility, and coverage before processing renewal orders.
- Identify expiring prior authorizations and coordinate the renewal process.
- Document all calls, emails, faxes, and patient updates accurately in the appropriate systems.
- Keep patients and caregivers informed regarding the status of their orders.
- Coordinate with the documentation, authorization, billing, purchasing, and logistics departments.
- Ensure orders are accurate and complete before they are released for shipment or delivery.
- Respond to phone calls, text messages, emails, and website inquiries in a professional and timely manner.
- Escalate insurance, documentation, product, or patient concerns to the appropriate supervisor.
- Maintain patient confidentiality and follow all HIPAA requirements.
- Assist with general phone coverage and other administrative responsibilities as needed.
- Meet individual and departmental productivity, accuracy, and follow-up expectations.
- Perform additional duties as assigned based on company needs.
Qualifications
- High school diploma or equivalent required.
- Previous experience in healthcare, durable medical equipment, insurance verification, customer service, or medical administration is preferred.
- Strong written and verbal communication skills.
- Excellent organization, time-management, and follow-up abilities.
- Strong attention to detail and accuracy.
- Ability to manage a high-volume workload with multiple deadlines.
- Comfortable making and receiving frequent phone calls.
- Ability to communicate professionally with patients, caregivers, providers, and coworkers.
- Basic computer skills and the ability to learn company software and processes.
- Ability to work independently while also contributing to a team environment.
- Dependable attendance and consistent punctuality are required.
- Bilingual English and Spanish is a plus.
Schedule and Growth
This position will begin at approximately 32 hours per week. The Renewal Coordinator is expected to transition into a 40-hour, full-time schedule as the position develops and business needs increase. The timing of this transition will be determined based on workload, performance, training progress, and company needs.

Pay: $17.00 - $19.00 per hour
