Typical Office Hours are M-F 8:30am - 5:00pm. Occasional overtime may be required due to business needs.
POSITION SUMMARY
Minimum starting hourly range will be $23.00 - $26.00 / year depending on experience and qualifications.
Every Bank Holiday off [11 days] in addition to the Day After Thanksgiving.

We are seeking a Payroll Associate responsible for accurate and timely payroll processing across multiple client accounts. This hands-on role reviews payroll data, processes routine adjustments, reconciles payroll batches, maintains complete records, and communicates professionally with clients. The ideal candidate is detail-oriented, dependable, comfortable managing multiple deadlines, and committed to delivering responsive client service in a fast-paced payroll environment.

Your proficiency in payroll software and accounting concepts will drive efficiency and accuracy across all payroll functions, contributing to the overall success of our financial operations.
ESSENTIAL DUTIES & RESPONSIBILITIES
Payroll Processing
· Process weekly, bi-weekly, semi-monthly, and monthly payrolls for assigned client accounts, ensuring accuracy, timeliness, and compliance.
· Review timecards, imports, and client-submitted payroll data for completeness and accuracy before processing.
· Prepare and enter payroll adjustments, garnishments, bonuses, corrections, and off-cycle payrolls in accordance with established procedures.
· Reconcile payroll batches and verify wages, tax withholdings, deductions, and net pay before finalization.
· Assist with year-end payroll activities, including W-2 review, corrections, and distribution.
· Follow documented workflows, quality-control procedures, and approval requirements for every payroll cycle.
Client Service & Communication
· Communicate with assigned clients to obtain payroll information, clarify discrepancies, and confirm processing requirements.
· Provide courteous assistance with routine payroll questions, system navigation, and established payroll procedures.
· Notify clients promptly when information is incomplete, inconsistent, or received after an established deadline.
· Escalate complex payroll, tax, compliance, or client-service issues to the Lead Payroll Associate, CEO, or designated partner as appropriate.
· Support client onboarding, account transitions, and special payroll projects as assigned.
Compliance, Documentation & Quality
· Maintain accurate, organized, and audit-ready payroll records to support internal reviews, client audits, and regulatory inquiries.
· Apply established wage-and-hour, payroll recordkeeping, and confidentiality requirements when processing payroll information.
· Research discrepancies, document corrective actions, and communicate resolution status to the appropriate parties.
· Protect sensitive employee, client, banking, and compensation information at all times.
Team Collaboration & Additional Responsibilities
· Coordinate with other payroll team members to manage workload and meet client deadlines during peak periods.
· Participate in training, quality reviews, and process-improvement initiatives that enhance accuracy, efficiency, and client satisfaction.
· Perform other related duties as assigned.
QUALIFICATIONS (Education, Experience, Skills & Abilities)
Education & Experience
· High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
· Two or more years of hands-on payroll processing experience preferred; experience in a multi-client or payroll-services environment is highly desirable.
· Experience using payroll software, timekeeping platforms, and standard payroll reports.
· Exposure to payroll taxes, garnishments, deductions, and year-end payroll processes preferred.
Skills & Abilities
· Working knowledge of payroll processing practices, FLSA requirements, wage-and-hour principles, and payroll recordkeeping.
· Strong attention to detail and the ability to produce accurate, well-documented work under recurring deadlines.
· Ability to organize and prioritize multiple client accounts and payroll schedules.
· Proficiency in Microsoft Excel, email, and payroll software systems.
· Clear written and verbal communication skills with a professional client-service mindset.
· Sound judgment, discretion, dependability, and the ability to identify when an issue requires escalation.
