Dorvin D. Leis Co., Inc. is seeking a detail-oriented and highly organized Contracts Administrator to support the processing and management of new business contracts for our construction and facility services operations. This role is responsible for organizing contract intake, reading and reviewing contract documents, preparing redlines, coordinating approvals, processing agreements for execution, and maintaining accurate contract records.
This position is based in Kahului, Hawaii, and Maui candidates are preferred. Qualified candidates residing in other location in Hawaii or in Nevada or Arizona may also be considered for a remote work arrangement.
Key Responsibilities:
- Organize, track, and process incoming facility services and construction-related contracts.
- Read contract documents carefully to identify key terms, obligations, deadlines, insurance requirements, indemnity provisions, payment terms, scope language, and other business or risk considerations.
- Prepare contract redlines and comments using company guidance, approved templates, prior precedent, and direction from leadership or legal counsel.
- Seek feedback from the insurance team regarding contractual insurance requirements, including coverage limits, endorsements, additional insured language, waiver of subrogation, primary and noncontributory wording, and other insurance-related obligations.
- Route contracts for internal review, approval, signature, and execution in accordance with company procedures and signatory authority requirements.
- Coordinate with project managers, facility services teams, estimating, accounting, insurance, safety, and other departments to gather required information and resolve contract-related questions.
- Request, track, and file Certificates of Insurance (COIs) and related insurance documentation required for contracts, projects, service agreements, subcontractors, vendors, and customers.
- Maintain accurate electronic and physical contract files, including drafts, redlines, executed agreements, amendments, certificates of insurance, bonds, notices, correspondence, and related documentation.
- Track contract status, open items, renewal dates, key obligations, required approvals, and pending follow-up items.
- Assist with processing purchase orders and any other related contract documents.
- Assist with legal claims and/or supporting pre-litigation document support as necessary.
- Help improve contract administration procedures, filing systems, templates, trackers, and workflow tools.
- Maintain confidentiality and professionalism when handling sensitive business, legal, financial, and customer information.
Qualifications and Experience:
- 7-10+ years of contract administration required.
- Experience with construction contracts, service agreements, subcontractor agreements, vendor agreements, purchase orders, or customer contract documents strongly preferred.
- Ability to read, organize, compare, and redline contract documents with strong attention to detail.
- Strong organizational skills and ability to manage multiple contracts, deadlines, document versions, and approval workflows at the same time.
- Clear written and verbal communication skills, with the ability to coordinate professionally with internal teams, customers, subcontractors, vendors, and outside counsel.
- Proficiency with Microsoft Word and BluBeam including redlining and document comparison tools, and Microsoft Excel or similar tracking tools.
- Ability to maintain accurate records and follow established procedures for approvals, signatures, filing, and retention.
- Working knowledge of insurance certificates, bonds, lien releases, and other common construction or facility services contract documents preferred.
- High level of discretion, professionalism, and confidentiality.
- Associate’s or bachelor’s degree in business administration, construction management, paralegal studies, or a related field preferred; equivalent experience may be considered.Pay commensurate with experience.
