About the Role
St. Louis Music is seeking a detail-oriented, dependable Part-Time Accounts Payable Assistant to support daily accounts payable operations. This position is scheduled for approximately 20 hours per week and is essential to maintaining accurate, timely financial processes. Responsibilities include invoice processing, vendor communication, and payment support to ensure accuracy and consistency across all transactions.
In this role, you’ll review and validate incoming invoices, match them to purchase orders, and ensure proper authorization before entry into our ERP system. You’ll work closely with internal teams and vendors to resolve discrepancies, verify receipts, and maintain accurate supplier pricing. From logging and batching invoices to organizing documentation and maintaining clean records, you’ll help keep our AP function running smoothly and audit-ready.
You’ll also assist with payment processing across checks, ACH, and wire transfers, and run reports to confirm accuracy of postings. Strong attention to detail is essential, as you’ll be responsible for maintaining open and paid invoice files with a high level of precision.
Key Responsibilities
- Reviewing Accounts Payable invoices for accuracy
- Corresponding and/or communicating with vendors to correct or modify invoices
- Working with appropriate personnel to verify purchase receipts, and update supplier costs in our computer system
- Running reports and ensuring accuracy of postings
- Assist with researching and resolving inquiries regarding account balances or discrepancies
- Cross-training to back up other accounting functional areas, such as Accounts Receivable and Billing
- Assisting with the month and year end close
- Reconciling general ledger accounts as needed
What We’re Looking For
Must-Haves
- Strong attention to detail—you notice when things don’t tie out and care enough to fix it
- Solid written and verbal communication skills—you can professionally handle vendor and internal questions without friction
- Comfortable working in a fast-paced environment where priorities can shift and volume can spike
- Highly organized with the ability to manage multiple invoices, deadlines, and follow-ups at once
- Self-starter mindset—you don’t wait to be told every next step and take ownership of your work
- Team-oriented attitude—you collaborate well and don’t let things fall through the cracks for others
- Proficiency in Microsoft Excel and Word
- High level of integrity and discretion when handling financial information
- Ability to handle complex situations with confidence and tenacity
Nice-to-Haves
- Previous experience in Accounts Payable or general accounting support
- Familiarity with ERP systems (Epicor Kinetic is a strong plus, but not required)
- Experience working with invoice matching, vendor communication, or payment processing
- Comfort pushing back or asking questions when something doesn’t look right
Education & Experience
- High school diploma required; Associate’s or Bachelor’s degree in Accounting, Business, or related field is a plus
- Entry-level candidates welcome, but some familiarity with accounting or AP processes will help you ramp faster
- We care more about work ethic, attention to detail, and willingness to learn than years of experience
Why This Role Matters
Accounts Payable is more than data entry—it’s a critical control point for the business. Getting it right means our vendors are paid accurately and on time, our financials stay clean, and our operations run without friction. This role plays a direct part in maintaining that standard. It requires someone who takes pride in doing things correctly the first time, isn’t satisfied with “good enough,” and understands that small details have real impact.
At St. Louis Music, we operate with a “get it done, get it done right” mindset. We move quickly when needed, but we don’t cut corners. We support each other, hold a high bar for quality, and value long-term relationships over short-term convenience.
For the right person, this role can grow. As volume increases and you build confidence in the work, there will be opportunities to expand into other areas of accounting.
Pay: From $18.00 per hour
