Minnesota Institute for Pain Management is a pain clinic focused on comprehensive pain management with physical therapy, chiropractic care, medications and injections as the treatment options for Neck pain and Back pain with management of musculoskeletal pain as well.
We have been in practice for five years with main office in Roseville, though has a presence in Burnsville as well.
We are looking for a Clinic Operations Manager, who will manage all external and internal business operations to achieve a smooth working environment and management of the administrative duties. Candidates must be independent, driven, detailed, collaborative, and enhance our fun, connected, and positive-minded group.
Essential Functions
- Operations
- Establish processes and office procedure and/or make them more efficient to ensure the office runs smoothly
- Maintain and review client panels to enhance access to care and maximum room utilization
- Oversee therapist schedule templates and availability
- Work with vendor and users to maintain efficient and effective use of Electronic Medical Record
- Weekly reconciliation of client revenue
- Place office supply re-orders
- Manage tech equipment such as internet, printers and copiers
- Manage Personnel
- Assess staffing needs and fit
- Onboard new clinicians and assist with clinicians concerns
- Assist with payroll and time-off tracking
- Manage the coordination of employee events that will foster team spirit and increase morale
- Yearly review and ongoing updates of Employee Handbook and Procedure Manuals
- Supervise Administrative Team
- Oversee direct reports’ task list and completion
- Track and schedule weekly hours
- Coordinate vacation and holiday schedule to ensure adequate coverage
- Manage Referral Letters tracking, prompting and mailing
- Identify and develop community relationships
- Assist in answering overflow incoming calls
- Assist in any special projects assigned by consultant staff
- Perform other duties as assigned
Education, Experience and Other Skills
- Four year college degree ideally in business, healthcare administration, or a related field
- Excellent verbal, written and interpersonal communication skills
- Ability to interact effectively with all levels in the practice
- Must reflect a personable and professional image
- Proficiency with Microsoft office
- Thorough knowledge of office procedures and practices and the use of office machines and equipment
- Strong attention to detail
- Ability to be flexible and to handle multiple projects in an organized, timely manner
- Strives to demonstrate the vision and goals of the Clinic
