About the Role
MedSpan Clinical Rotations places third and fourth year osteopathic medical students with qualified physician preceptors across a growing network of clinical sites.
We are seeking a highly organized Medical Education Coordinator to manage the recurring operational work that keeps students, preceptors, hospital partners, and clinical sites aligned. This includes scheduling, communications, credentialing documentation, onboarding, and data management.
This is an administrative and coordination role, not a clinical position. You will work closely with our Medical Director and operations leadership, taking ownership of essential weekly processes so our physician leaders can remain focused on clinical oversight, institutional relationships, and student education.
The position is expected to begin at approximately 10 to 15 hours per week and expand as student volume grows, with a clear opportunity to transition into a full time role.
Key Responsibilities
- Maintain the master student and preceptor schedule across multiple rotation blocks, including availability updates, assignment changes, swaps, and new preceptor information
- Prepare and send weekly student assignment communications and rotation materials according to an established schedule
- Coordinate onboarding for new preceptors, including affiliation agreements, applications, professional licenses, board certification, and credentialing documentation
- Confirm that all required documentation and approvals are complete before assigning students to a preceptor or clinical site
- Communicate with hospital coordinators, practice managers, physicians, students, and academic partners to confirm that schedules and rotation information have been received and understood
- Maintain a clear tracking system for outstanding schedules, unsigned documents, missing information, and unconfirmed availability, and follow each item through completion
- Keep contact records, student rosters, preceptor information, and shared tracking documents current and accurate
- Support physician appreciation and relationship management efforts, including thank you notes, small gifts, and periodic check ins with preceptors and site coordinators
- Identify scheduling gaps, capacity concerns, and potential operational issues early, and escalate them to the Medical Director and operations leadership
- Help improve recurring processes, templates, and tracking systems as the organization grows
Qualifications
- At least one year of experience in medical education coordination, undergraduate or graduate medical education, healthcare administration, physician recruiting, credentialing, academic administration, or a similarly detailed operations role
- Strong written and verbal communication skills, with the ability to serve as a professional point of contact for physicians, hospital staff, medical students, and academic partners
- Excellent organizational skills and the ability to manage recurring weekly responsibilities with limited supervision
- Strong proficiency in Microsoft Excel or Google Sheets, including maintaining shared records and ensuring information remains consistent across documents
- Experience with credentialing documentation, electronic signature platforms such as DocuSign, or similar document workflows is preferred
- Familiarity with osteopathic medical education, including DO programs, OMS students, and clinical rotations, is helpful but not required
- A reliable and responsive working style, with the ability to manage a consistent weekly communication and follow up schedule
- Sound judgment, attention to detail, and a commitment to completing work accurately and on time
