Position Overview
This is a rare opportunity to step into a leadership role within a thriving specialty healthcare practice.
During your first several months, you will work alongside our front desk, patient care, and clinical teams to learn how our practice operates from the ground up. We believe the best leaders understand the business before leading it.
As your knowledge and confidence grow, you will gradually take ownership of daily operations, team development, hiring, systems, and practice performance—working directly with ownership to support continued growth.

What You'll Do
In Your First 90 Days — Learn the Practice
- Shadow every major workflow: front desk, scheduling, patient communication, and daily office operations
- Build an understanding of insurance processes, financial workflows, and patient coordination
- Build relationships with every department and team member before stepping into a leadership capacity
Ongoing — Operations & Leadership
- Oversee daily office operations and serve as the go-to resource for the team
- Lead weekly team meetings and daily huddles
- Conduct regular one-on-one meetings with team members
- Train, onboard, and mentor new team members
- Manage recruiting, interviewing, and hiring in partnership with ownership
- Coordinate employee schedules, PTO, and coverage planning
- Hold accountability conversations and conduct performance reviews
- Develop and maintain Standard Operating Procedures (SOPs)
- Monitor KPIs and recommend operational improvements; generate reports using Excel
- Support implementation of new systems and process improvements
- Assist ownership with strategic projects and operational initiatives
What Success Looks Like
Within your first year, you will:
- Become proficient in every major office workflow
- Lead hiring, onboarding, and orientation efforts
- Take full ownership of daily operations
- Develop and implement systems and SOPs that improve operational efficiency
- Coach and develop team members while maintaining a positive, accountable culture
- Allow ownership to focus on strategic growth rather than daily operations
That last point is the measure of success. When ownership can step back from day-to-day operations because this role is handling it—that's the goal.

You don't need to come from healthcare. We will train the right person. What we can't teach is the drive, judgment, and character this role requires.
Preferred Qualifications
- 3+ years of leadership, office management, operations management, or healthcare practice management
- Experience leading teams of 10+ employees
- Experience improving business systems and operational workflows
- Experience hiring, coaching, onboarding, and performance management
- Comfortable managing schedules, staffing, payroll coordination, and day-to-day office operations
- Experience using practice management software, CRM systems, or EMR/EHR software (training provided on our systems)
- Strong understanding of customer service and patient experience
- Experience tracking KPIs, reporting metrics, and using Excel
- Highly organized with exceptional follow-through
- Comfortable learning new technology and AI tools
