Crown Staffing is currently seeking experienced Office Managers to fill openings with a local Manufacturing company in Owensboro, KY.
Position Summary- The Office Manager is responsible for overseeing the day-to-day administrative operations of the Owensboro office. This position supports company leadership, sales and production teams, customers, insurance-related projects, and field personnel while ensuring that office operations remain organized, accurate, efficient, and professional. The ideal candidate is highly organized, dependable, detail-oriented, customer-focused, and comfortable working in a fast-paced restoration and construction environment.
Key Responsibilities:
- Manage daily office operations, including phones, emails, correspondence, scheduling, filing, and administrative procedures.
- Serve as a primary point of contact for customers and provide professional, courteous customer service.
- Schedule inspections, appointments, crews, and customer communications as needed.
- Maintain accurate customer, project, contract, and job documentation.
- Assist with insurance claims and maintain required claim-related paperwork and communication.
- Coordinate communication between customers, sales representatives, project managers, contractors, vendors, and field crews.
- Prepare invoices, track payments, assist with accounts receivable and accounts payable, and maintain financial records.
- Enter and maintain information in company software, spreadsheets, databases, and other administrative systems.
- Monitor outstanding paperwork, signatures, permits, insurance documentation, and project requirements.
- Assist management with reports, expense tracking, payroll/timekeeping information, and other administrative duties.
- Maintain organized electronic and physical filing systems.
- Order and maintain office supplies and coordinate with vendors when necessary.
- Help ensure company policies, procedures, and documentation requirements are followed.
- Assist with employee onboarding, scheduling, records, and other human-resources-related administrative tasks.
- Support management and other departments with special projects and administrative needs.
- Handle customer questions and concerns professionally and escalate issues to management when appropriate.
- Protect confidential customer, employee, financial, and company information.
- Perform other duties as assigned by management.
Qualifications:
- Previous office management, administrative, or customer-service experience preferred.
- Experience in restoration, roofing, construction, insurance claims, or a related industry is a plus.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to multitask and prioritize in a fast-paced environment.
- Professional telephone and customer-service skills.
- Proficiency with Microsoft Office, including Word and Excel.
- Experience with QuickBooks, CRM, estimating, or project-management software is beneficial.
- Ability to work independently while also functioning effectively as part of a team.
- Strong problem-solving and follow-through skills.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Skills:
- Knowledge of insurance claims and restoration processes.
- Experience working with contractors, subcontractors, homeowners, or insurance companies.
- Familiarity with construction/restoration terminology.
- Experience with accounting, invoicing, payroll, or bookkeeping.
- Ability to communicate effectively with both office personnel and field crews.
Work Environment- This is primarily an office-based position supporting a busy restoration and exterior remodeling operation. The Office Manager may interact frequently with customers, employees, contractors, vendors, insurance representatives, and company leadership. The position requires the ability to manage multiple priorities while maintaining professionalism, accuracy, and excellent customer service.
