POSITION SUMMARY: This position supports the work of YMCA of the Rockies, which operates mission-based family and group conference and retreat centers serving more than 225,000 guests annually across the Association. The Talent Acquisition Coordinator is responsible for the operational execution of the hiring lifecycle after candidate selection, ensuring every hire moves efficiently and accurately from the Applicant Tracking System (ATS) into the Human Resources Information System (HRIS). This position coordinates hiring operations, maintains recruitment workflows, supports onboarding processes, administers hiring systems, and ensures the timely completion of pre-employment requirements while promoting operational excellence throughout the Talent Acquisition function.

ESSENTIAL FUNCTIONS:

Coordinate the hiring process from candidate selection through onboarding, including ATS and HRIS updates, pre-onboarding documentation, required pre-employment screenings, and hiring record accuracy within established timelines.

Administer the Applicant Tracking System (ATS) and process new hire information into the Human Resources Information System (HRIS), maintaining accurate and complete hiring records.
- Coordinate Criminal Background Checks (CBC), Motor Vehicle Record (MVR) screenings, employment verifications, and other required pre-employment screenings.
- Prepare, process, and assign pre-onboarding documentation in accordance with organizational policies and procedures.
- Monitor hiring workflows, identify processing delays, escalate operational issues, and ensure a seamless transition from recruitment to onboarding.
- Generate hiring reports, operational metrics, and status updates to support workforce planning, compliance, and departmental decision-making.
- Develop, maintain, and update Standard Operating Procedures (SOPs), workflow documentation, and operational resources for the Talent Acquisition function.
- Provide guidance and training to Hiring Assistant(s) on Talent Acquisition systems, hiring procedures, and operational best practices.
- Collaborate with Human Resources and department leaders to ensure the timely and accurate completion of hiring activities.
- Assist with candidate interviews as needed, including scheduling, preparation, documentation, and follow-up support.

Maintain confidentiality of applicant and employee information while ensuring compliance with organizational policies, employment laws, and accreditation standards.
REQUIREMENTS/QUALIFICATIONS:

High school diploma or equivalent.
- Strong organizational skills with exceptional attention to detail and accuracy.
- Ability to manage multiple priorities and meet established deadlines in a fast-paced environment.
- Strong verbal, written, and interpersonal communication skills.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Ability to learn and effectively use Applicant Tracking Systems (ATS), Human Resource Information Systems (HRIS), and other technology platforms.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive applicant and employee information.
- Strong customer service skills with the ability to provide professional support to applicants, hiring managers, and team members.
- Ability to follow established procedures while identifying opportunities to improve efficiency and accuracy.
