Human Resources Coordinator
Location: West Palm Beach, FL (On-Site)
Schedule: Monday – Friday, 8:30 a.m. – 5:00 p.m. (30-minute unpaid lunch)
Pay: $20.00 per hour
Position Summary
Sunburn Cannabis is seeking an organized, detail-oriented Human Resources Coordinator to support our growing Human Resources department. This position plays an important role in ensuring employee records are accurate, onboarding tasks are completed timely, and HR processes run smoothly for employees throughout Florida.
The ideal candidate is highly organized, maintains strict confidentiality, communicates professionally, and thrives in a fast-paced environment while managing multiple priorities.
Essential Duties and Responsibilities:
New Hire Administration
Prepare and distribute offer letters and OMMU background waivers.- Send onboarding paperwork to new hires.
- Track completion of I-9s and other required employment documents.
- Verify all required pre-employment documentation has been received.
- Track fingerprinting appointments and completion.
- Create and maintain electronic personnel files.
Employee Records
Scan, organize, and electronically file Human Resources documents.- Maintain accurate and complete employee personnel records.
- Audit employee files for missing or incomplete documentation.
- Maintain strict confidentiality of employee information.
Leave Administration Support
Track due dates for FMLA, leave of absence, and medical certification paperwork.- Follow up on outstanding leave documentation.
- Maintain leave tracking spreadsheets.
- Ensure that employees who have benefits are set up with ACH for premium payments while on leave.
- Notify Human Resources of upcoming leave expirations and required actions.
Recruiting Support
Communicate with applicants/hiring managers throughout the hiring process, as directed.- Maintain the Applicant Tracking System (ATS) and ensure requisition records remain current.
- Assist with other recruiting administrative tasks as needed.
HR Systems
Maintain employee information within the HR system (currently PrismHR).- Assist with HR data entry and employee record updates.
- Audit HR system records for accuracy and completeness.
- Generate standard HR reports as requested.
HR Administration & Compliance
Open, sort, and distribute incoming company mail to the appropriate departments and individuals.- Maintain OMMU compliance tracking spreadsheets.
- Track completion of required employee acknowledgments.
- Schedule and monitor I-9 documentation reviews with new employees.
- Respond to routine employee inquiries received through the HR Help inbox or route inquiries to the appropriate HR team member.
- Assist with HR reporting, audits, and special projects assigned.
- Any other duties as assigned
Qualifications
High school diploma or GED required; associate or bachelor’s degree in human resources, Business Administration, or a related field preferred.- One year of administrative, customer service, or Human Resources experience preferred.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and consistently meet deadlines.
- Demonstrated ability to work accurately with detailed records and maintain organized electronic files.
- Proficiency with Microsoft Office, including Outlook, Excel, and Word.
- Ability to maintain confidentiality and handle sensitive information with professionalism.
- Must be at least 21 years of age
Preferred Qualifications
Previous Human Resources experience.- Experience with an Applicant Tracking System (ATS) and/or PRISMHR.
- Experience maintaining confidential employee records.
- Knowledge of onboarding processes, employment documentation, I-9 compliance, or leave administration is a plus.

This position provides administrative support to the Human Resources department and does not make decisions regarding employee relations, disciplinary actions, leave approvals, accommodations, investigations, compensation decisions, terminations, or other employment matters.
The Human Resources Coordinator may assist with employment-related processes but does not exercise independent judgment or decision-making authority regarding employment actions. The Human Resources Coordinator is expected to maintain the highest level of confidentiality, professionalism, and accuracy while supporting the Human Resources department.
