POSITION SUMMARY
The Front Desk Receptionist serves as the first point of contact for customers, vendors, and staff at our boat and RV dealership and service center. This role blends outstanding customer hospitality with administrative precision, supporting day-to-day operations across inventory tracking and human resources administration. The ideal candidate is organized, personable, and comfortable working in a fast-paced retail environment.
KEY RESPONSIBILITIES
Customer Service & Front Desk Operations
· Greet and welcome all visitors, customers, and vendors in a professional and friendly manner.
· Answer and route multi-line telephone calls; take messages and follow up as needed.
· Respond to general customer inquiries in person, by phone, and via email.
· Schedule service appointments and coordinate with the service department for customer drop-offs and pick-ups.
· Manage incoming and outgoing mail, deliveries, and courier packages.
· Maintain a clean, organized, and presentable front desk and lobby area.
Inventory Support
· Assist in logging and tracking incoming inventory of boats, RVs, trailers, and related accessories.
· Update dealership inventory management software with new unit arrivals, transfers, and sold units.
· Prepare and file vehicle titles, registration paperwork, and manufacturer certificates of origin (MCOs).
· Coordinate with the sales team to ensure lot inventory lists and window stickers are accurate and current.
· Conduct periodic physical inventory counts and reconcile discrepancies with records.
· Liaise with vendors and manufacturers regarding part orders, backorders, and delivery status.
General Administrative Duties
· Operate office equipment including printers, copiers, and scanning systems.
· Order and maintain office supplies inventory.
· Assist with planning and logistics for store events, promotions, or staff functions.
QUALIFICATIONS
Required
· High school diploma or equivalent; associate degree preferred.
· 2+ years of experience in a receptionist, administrative, or customer service role.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer skills.
· Strong verbal and written communication skills.
· Exceptional organizational skills with the ability to multitask and prioritize in a busy environment.
· Professional appearance and demeanor.
· Ability to handle sensitive and confidential information with discretion.
Preferred
· Experience in a dealership, automotive, marine, or RV industry environment.
· Familiarity with dealer management systems (DMS) or inventory software.
PHYSICAL REQUIREMENTS
· Ability to sit or stand for extended periods at a front desk workstation.
· Occasional lifting of packages or supplies up to 25 lbs.
· May occasionally walk the lot to assist with inventory counts.
WORK ENVIRONMENT
This position is based primarily at the front desk within a retail dealership setting. The environment is dynamic and customer-facing, with exposure to foot traffic, telephone inquiries, and periodic activity from the sales floor and service department. Standard business hours apply; occasional Saturday availability may be required during peak seasons.
