We are seeking a dynamic and organized Secretary/Receptionist to be the friendly face and efficient coordinator of our office. Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support.
- Handle all incoming calls, direct inquiries appropriately, and take detailed messages when necessary.
- Perform clerical duties such as data entry, filing, proofreading, and document preparation using Word processing tools.
- Maintain organized office management systems, including calendar management, appointment scheduling, and correspondence tracking.
- Support bookkeeping tasks using QuickBooks or similar software, including basic bookkeeping and data entry.
- Assist with office supply inventory management and ensure the office environment remains tidy and efficient.
- Coordinate with team members on administrative tasks such as client communication, document proofreading, and general office support.
- Utilize Google Workspace applications for document creation, email correspondence, and collaboration on projects.
- Provide personal assistant support as needed, including calendar management and task prioritization.
Qualifications
- Proven experience in office management or administrative support roles; previous clerical or front desk experience preferred.
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, and data entry tools.
- Strong organizational skills with the ability to multitask effectively in a busy environment.
- Exceptional customer service skills combined with professional phone etiquette for handling multi-line phone systems.
- Bilingual abilities are highly desirable to assist diverse client needs effectively.
- Demonstrated ability to manage time efficiently while maintaining accuracy in tasks such as proofreading and data entry.
- Knowledge of QuickBooks or similar bookkeeping software is a plus.
- Strong interpersonal skills for client communication and team collaboration.
- Ability to adapt quickly to changing priorities while maintaining a positive attitude.
