The Role
Our client in Owing Mills, MD is seeking a detail-oriented Accounting Manager/ Bookkeeper to own the day-to-day financial operations of their busy legal firm. You’ll manage full-cycle accounting and ensure our books are accurate, compliant, and audit-ready.
Responsibilities
- Accounts Payable: Code and enter vendor invoices, process check runs/EFTs, manage 1099 vendor tracking, and resolve billing discrepancies
- Accounts Receivable: Generate client cost invoices, post payments to client matters, manage retainer deposits, and follow up on outstanding A/R balances
- Bank & Trust Accounting: Perform monthly bank, credit card, and IOLTA/trust account reconciliations; maintain three-way reconciliation reports in compliance with MD/VA Bar rules
- Payroll & Timekeeping: Process bi-weekly payroll for all staff, administer PTO accruals, review/approve employee timecards, and prepare quarterly payroll tax filings
- General Ledger: Maintain chart of accounts, post journal entries, record month-end accruals, and ensure proper allocation of expenses by department/matter
- Tax & Regulatory Compliance: Prepare and file sales & use tax, personal property tax, and other state/local filings; coordinate with CPA for corporate tax; complete annual insurance surveys and workers’ comp audits
- Legal-Specific Accounting: Process medical record and expert witness invoices, track case costs advanced, prepare client disbursement statements, and reconcile case cost recovery
- Financial Reporting: Generate monthly P&L, balance sheet, and cash flow statements; produce attorney productivity and matter profitability reports
- Month/Year-End Close: Execute closing procedures, prepare schedules for CPA, assist with W-2s and 1099s, and support annual audit requests
Qualifications
- 3+ years of full-cycle bookkeeping or accounting experience; law firm experience strongly preferred
- Advanced proficiency with Microsoft Dynamics GP / Great Plains and Microsoft Outlook
- Working knowledge of IOLTA trust accounting rules for MD and VA
- Experience processing payroll and multi-state payroll tax filings
- Highly organized with ability to manage competing deadlines and maintain confidentiality
- Associate’s degree in Accounting, Finance, or related field preferred
Preferred Qualifications
- Experience with legal practice management software like Clio, Practice Panther, or Tabs3
- Familiarity with QuickBooks as backup/alternative system
- Knowledge of DCAA compliance or legal industry billing standards

Pay: $55,000.00 - $75,000.00 per year
