Duties
- Greet patients, visitors, and staff with a friendly, professional demeanor, ensuring a positive first impression.
- Schedule patient appointments accurately using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
- Verify insurance coverage, process medical collections, and handle billing tasks in compliance with HIPAA regulations.
- Manage electronic health records (EHR) systems to update patient information, review documentation, and ensure data accuracy.
- Answer multi-line phone systems with excellent phone etiquette; direct calls appropriately and take detailed messages.
- Assist with medical documentation review, coding (CPT, ICD-9/10), and care plan documentation to support clinical workflows.
- Maintain organized medical records, file documents securely, and perform routine clerical tasks such as data entry and 10-key typing.
- Support clinic operations by managing appointment reminders, patient check-in/out procedures, and coordinating follow-up visits.
- Uphold clinical confidentiality policies while handling sensitive patient information with care and discretion.
- Collaborate with healthcare providers to facilitate smooth clinic flow and ensure timely patient service delivery.
Skills
- The ability to speak Spanish is required for this position due to our patient population.
- Proven experience in medical office administration or front desk support within a healthcare setting is a plus but not required.
- Strong computer and organizational skills along with the ability to learn is a reuirement.
- Knowledge of health insurance processes including Medicare billing, health information management, and medical coding (ICD-10/ICD-9/CPT) is a plus.
- Excellent customer service skills combined with professional phone communication and phone etiquette is required.
- Ability to review medical documentation accurately while adhering to HIPAA and clinical confidentiality policies is a plus but training will take place.
- Exceptional organizational skills with experience managing medical records, filing systems, and electronic health record management.
- Strong attention to detail for documentation review, coding accuracy, and data entry tasks; capable of handling multiple priorities efficiently.
- Familiarity with clinic scheduling software and electronic health record management tools is preferred.
