THE OPPORTUNITY:
As an Administrative Assistant - Food Service, you will support the Food Service team by working with customers, vendors, and internal teams to prepare production records and manage daily transactions. This includes collecting, consolidating, and entering data, as well as distributing information as needed. The role also maintains accurate daily logs, provides excellent customer service, and helps coordinate catering requests.
WORK SCHEDULE/CONDITIONS:
This role is scheduled to work five days per week, typically Monday through Friday from 6:00 a.m. to 2:00 p.m. However, shift hours may vary, and you may be required to work outside normal business hours, including weekends and holidays, to meet operational needs or contract requirements.
Work is performed in a fast-paced environment with a diverse group of people. Duties may take place indoors in a kitchen or office setting, or outdoors. The role may also require deliveries and travel to other program or meeting sites as needed.
WHAT YOU WILL BE DOING:
- Answer phone calls and provide information and assistance to staff, clients, and external contacts while delivering excellent customer service.
- Handle correspondence and communication both effectively and professionally with all contacts.
- Prepare and distribute delivery information to drivers, and work closely with them to resolve issues that may arise.
- Gather and organize documentation received from drivers and distribute it to the appropriate departments.
- Respond to catering inquiries in a timely manner, provide excellent customer service, and work with the Senior Food Service Administrator (SFSA) to help ensure orders can be fulfilled as requested.
- Disseminate the daily and monthly menus.
- Work with customers to gather meal counts and special dietary needs.
- Prepare daily production records and distribute meal information to the kitchen.
- Prepare, distribute, and enter sales information for customers, and generate invoices for catering orders.
- Prepare and submit invoices to the Senior Food Service Administrator for review.
- Work directly with contracted and non-contracted customers.
- Set a positive example for trainees through professional appearance, punctuality, attendance, and a mature, professional attitude.
- Communicate effectively with all clients, programs/departments, and staff, both orally and in writing; read and understand written material.
- Assist supervisors in reporting workplace injuries according to established procedures, including calling immediately for care instructions and following up with an incident report in a timely manner.
- Follow safety procedures (including any required PPE), work rules, standards of conduct, policies, procedures, and practices.
- Complete training as mandated by organizational policy and other business duties as assigned.
- Demonstrate the ability to work with confidential information and comply with established policies, procedures, and practices.
- Operate a company vehicle if necessary.
WHAT YOU WILL NEED:
- Intermediate to advanced proficiency in Microsoft Word, Excel, Outlook, database systems, or comparable programs.
- Ability to use other standard office equipment, i.e., copier, fax, cash register, 10-key.
- High school diploma, certificate of completion, or equivalent.
- Clearance/Certification: 1) TB clearance, 2) Criminal background check, 3) Pre-employment drug testing, 4) Child Protective Services/Adult Protective check.
NICE TO HAVE:
- Two to three years of related experience in food service, customer service, or training programs.
- Valid driver’s license and clean driving record.
Pay: $16.29 - $17.96 per hour
