The Receptionist is the first point of contact for the company and plays a key role in creating a welcoming and professional environment. This role involves greeting visitors, answering and directing calls, handling administrative support tasks, and ensuring the front office operates smoothly.

Greets and welcomes visitors in a friendly and professional manner.

Answers, screens, and forwards incoming phone calls.

Maintains a clean and organized reception area.

Receives, sorts, and distributes mail and deliveries.

Manages meeting room bookings.

Provides basic information to clients or visitors about the company.

Assists with administrative tasks such as data entry, filing, and scanning.

Coordinates with internal staff and departments as needed.

Maintains office supply inventory and places orders when necessary.

Handles incoming emails and directs inquiries to the appropriate personnel.

Verbal and written communication skills to obtain and exchange factual and technical data, to write, review and edit complex and often controversial correspondence, to explain compensation program policies and procedures, to foster customer dialog, and to diplomatically explain and resolve sensitive issues.

Interpersonal skills to initiate and develop productive working partnerships with all levels of the organization. Cooperation and achievement and to confer with external organizations and individuals regarding Title Insurance issues, industry practices and applications of pay programs.

Analytical skill and judgment to analyze complex and unique title insurance issues. Provide recommendations for questions or concerns.

Comprehensive knowledge of legal and regulatory requirements related to the Title Insurance industry and trends.

Working knowledge of the Microsoft Office suite (e.g., Excel and Word) and Google Business suite.

Proficient with the DEC AIM system.

High school diploma or equivalent.

Proven experience as a receptionist, front desk representative, or similar role.

Proficient in Microsoft Office (Word, Excel, Outlook) and office equipment (printers, fax machines).

Excellent verbal and written communication skills.

Ability to maintain confidentiality and handle sensitive information.

Ability to regularly stand, talk, bend, stretch, pull or push and lift items.
