Description:
SUMMARY: The Quality Compliance Specialist is responsible for supporting and ensuring the effectiveness of the company’s quality management system. This role oversees internal audits, document control, corrective action implementation, audit preparedness, training content creation, and supports cross-functional teams to ensure compliance with all customers and third-party audit standards (e.g., BRCGS, SQF).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Internal Audits & Audit Readiness

Lead and conduct internal audits across all departments.

Ensure the facility is prepared for all regulatory, customer, and third-party audits.

Research standards and audit protocols to maintain full compliance.

Document audit findings and communicate non-conformances to department supervisors and management
Corrective Action & CAPA Management
- Communicate deficiencies to supervisors and verify corrective actions have been completed.

Educate supervisors on documentation requirements and quality procedures.
-
Lead CAPA verification meetings and track resolutions.
Documentation Control

Maintain and organize controlled documents to ensure accuracy and version control.
-
Create, revise, and retire documents as needed.

Ensure that all documentation aligns with Production requirements, regulatory and audit requirements.

Identify documentation deficiencies and follow up with departments to ensure timely corrections.

Support the transition to digital document management systems
Training & Development
-
Develop training materials utilizing alchemy based on production requirements
-
Coordinating with departments leads to deploy training effectively.
Reporting & Continuous Improvement
-
Assist in creating and maintaining reports for quality metrics, audit findings, and compliance tracking.

Provide data analysis support for continuous improvement initiatives.
Signage & Visual Aids
-
Create and maintain Finished Product Sheets (FPS) and upload them into EPR, machine signage, and computer workstation signage to support production and quality standards.
Sales & Customer Support
-
Draft letters and documentation required by the Sales team to support customer communication and compliance requests.

Follow up Sales and Vigor VG for production runs occurring at EE Dallas and any additional paperwork needed for regulation and compliance.
Other Duties
-
Support management with additional tasks and projects assigned.
Requirements:
MINIMUM KNOWLEDGE, SKILLS, & ABILITY REQUIREMENTS:

High school diploma or equivalent (Associate degree preferred)

Basic understanding of quality systems, audits, or document control
-
Proficient with Microsoft Word, Excel, and file organization
-
Strong attention to detail and time management
-
Ability to follow procedures and stay organized
-
Good communication skills (written and verbal)
-
Willingness to learn BRCGS, SQF, and other quality standards
-
Able to work independently and with teams
-
Comfortable handling paperwork, printing, scanning, and filing
EDUCATION and/or EXPERIENCE:
-
High school diploma or equivalent (Required).
-
2–4 years of experience in Quality Assurance, Quality Compliance, Document Control, or Quality Systems within a manufacturing environment
-
Experience with Recycled Material Standard (RMS) or similar certification programs
-
Food packaging, plastics manufacturing, or regulated manufacturing experience preferred
-
Experience supporting SQF, BRCGS, ISO 9001, ISO 22000, or similar quality systems preferred
-
Working knowledge of HACCP principles
-
Working knowledge of Good Manufacturing Practices (GMP)

Understanding of document control principles
-
Experience conducting internal audits
-
Familiarity with corrective action processes (CAPA)

Excellent Project Management skills. Has the ability to handle multiple projects and meet project deadlines.

Excellent attention to detail

Ability to work in a teamwork environment in addition to working independently with limited supervision at times.

Must be computer literate and proficient with Microsoft Office and its programs such as Microsoft Word, Excel and Outlook.

Able to use logic and reasoning to identify solutions to problems.

Regular interaction with Production, Warehouse, Maintenance and Management.

May require occasional flexibility in work schedule during audits, customer visits, or certification activities.
PHYSICAL DEMANDS:
- Ability to walk the production floor for extended periods during inspections and audits.

Ability to occasionally lift up to 25 pounds.

Ability to work in a manufacturing environment with varying temperatures and noise levels.

Frequent computer work and document review.
