We are seeking an organized, efficient Payroll Coordinator to help our team collect and process weekly payroll. Alongside a diligent and punctual approach. A successful Payroll Coordinator will have experience in payroll processing and will be responsible for ensuring that all personnel are paid on time and accurately.
Job Requirements:
· Process weekly payroll in-house. Ensures payroll is accurate and checks are ready for pickup, and/or mailing of direct deposit checks on a timely manner. Post payroll. Uploads direct deposit file to the bank.
· Process weekly 401k / fringe wage calculations to our service provider, Beneco.
· Prepares weekly, monthly, quarterly and annual State, Federal, and Union reports/returns for accountants review.
· Ensure accuracy of payroll records by maintaining payroll system with updates in wage, status changes, tax withholdings, benefits deductions, garnishments, etc.
· Assists with filing and payment of state and local taxes.
· New hire setup. Ensure employee information is entered into payroll system accurately. Process status changes, transfers, promotions, and final checks for employees.
· Review and maintain accurate automated system reports.
· Process and manage sick leave and vacation accrual/usage tracking.
· Ensure certified payroll and EEO reports are processed on a weekly basis in multiple systems to include Elations, NYS Certified Payroll Website – Department of Labor, etc. Create weekly report, print, scan and email to appropriate companies.
· Report all new hire information to the appropriate state.
· Processes employee bonuses.
· Administers year end processing including generation and distribution of W-2 statements.
· Assists employees in the understanding of payroll calculations and deductions. Investigates problems and makes appropriate corrections as necessary.
· Ensure Verifications of Employment are completed accurately and timely.
· Ensures confidentiality of employee matters. Maintains good communication; establishes and maintains positive working relationships with employees and managers.
· Manage compensation packages using payroll software
· Collect and verify timekeeping information for all employees
· Calculate pay according to hours worked incorporating leaves and overtime
· Calculate bonuses and commissions when appropriate
· Manage and calculate taxes and deductions
· Initiate periodical payments timely either by preparing and administering checks or making direct deposits through a bank payment system
· Update paper and electronic payroll records by entering adjustments on pay rates, employee status changes etc.
· Calculate unemployment and severance payments
· Deal with complaints and questions regarding payroll from employees and upper management
· Investigate and resolve any discrepancies in payroll
· Prepare and submit reports with payroll information to supervisor
· Assist with payroll reconciliation
Qualifications & Experience
· Proven experience as payroll clerk or payroll manager
· Experience with certified payroll and EEO reporting
· Familiarity with general accounting principles
· Experience in data collection, entry and reporting with great attention to detail and confidentiality
· Solid knowledge of relevant legislation, policies and regulations
· Outstanding organizational and time management skills
· Excellent communication abilities with aptitude in problem-solving
· High school diploma or equivalent; BS/BA in accounting/business administration is a plus
· Vista experience is preffered, not required
