Job Summary
We're looking for someone to help keep our document files in order. Most of the day is spent scanning and filing, and making sure paperwork that comes through ends up where it belongs. You'll log new documents as they arrive and update records when a revised version replaces an older one. There's a fair amount of typing. Some of the work happens on the computer and some of it is with physical binders and folders, depending on what a project needs that week. It's steady work, and it usually settles into a routine after the first couple of weeks. We'll show you how our filing system works and how documents get numbered. The office gets busy toward the end of a project, and it's a fast-paced environment during those stretches. Nothing here is something you'd have to figure out on your own.
Responsibilities
- Scanning and filing incoming documents.
- Log each new file in the tracking sheet and note the date it arrived.
- Replacing outdated versions with current ones, folders should only hold what people are actually using.
- Light data entry.
- Pull records when someone asks for them.
- Answering the phone and taking messages.
- Occasionally helping with mail sorting and keeping the supply cabinet stocked.
Qualifications
- You keep track of small details that others might miss, especially when a few things land at once.
- Comfort with a computer helps here, since a lot of the filing lives in spreadsheets and shared folders.
- When someone asks where a document went, you can explain it clearly without much back and forth.
- Showing up when you're scheduled matters to us more than almost anything else.
- Staying even-tempered generally makes the busier weeks easier on everyone.
- A willingness to learn our numbering system goes a long way.
- You're a team player when someone needs a hand.
Pay: $26.06 - $31.39 per hour
