The Missouri School of Journalism is pleased to announce the opening of the Senior Executive Assistant to the Dean.
The ideal candidate will play an instrumental role in the success of sustaining our department’s mission; partner with the Dean to manage projects and ensure that the daily operations of the Dean’s office runs smoothly and efficiently.
In this role, the candidate will provide a high-level of administrative support to the Dean, Promotion and Tenure Committee, Policy Committee, and various other faculty, as needed. The Senior Executive Assistant accomplishes various responsibilities that require a specific knowledge of policies and procedures and University systems, including utilizing Microsoft Office 365, handling correspondence, and strong coordination, planning, organization, and time management skills to manage and execute projects and tasks to meet sensitive deadlines.
Duties include, but not limited to:
- Assist the Dean and leadership team with executing projects, ranging in size and complexity, preparing reports and correspondence, arranging meetings and events, attending leadership and faculty meetings, taking faculty meeting minutes, tracking attendance and preparing meeting materials, arranging travel for the Dean and others, handling fiscal duties, coordinating campus visitor itineraries, and answering the Dean's phone line.
- Manage the Dean’s email and calendar appointments, including coordinating individual and group meetings with other difficult and complex schedules. Resolve scheduling conflicts as they arise. Prioritize issues and expertly manage time to maintain a very high level of productivity and efficiency. Work with walk-in requests to see the Dean and schedule appointments as appropriate. Manage the Dean’s to do list to track items to completion.
- Work closely with Human Resources to execute HR functions and processes such as the hiring of faculty and staff, onboarding of new hires, promotion and tenure of faculty, reappointments of faculty, faculty annual evaluations, and requests for emeritus designations. Closely track this information and provide guidance and expertise to the Dean, Human Resources and leadership team.
- Provide oversight and facilitation of the annual faculty instructional workload report and compliance reporting of the annual conflict of interest/commitment
- Establish and streamline processes and procedures to organize workflow and increase efficiencies
- Manage a team of administrative professionals and student assistants. Monitor the daily operations and foster a collaborative and productive work environment
- Provide back-up support to administrative professionals in the Dean’s Office, including assuming duties when positions are vacant
- Maintain the Dean’s Office electronic files
- Assist with the School’s accreditation process and the Dean’s participation in accreditation site visits at other schools.
