About the Role
Solstice is seeking a highly organized and proactive Administrative Assistant to support a Management Executive in overseeing the day-to-day operations of a portfolio of multifamily residential buildings, primarily cooperatives and condominiums.
This role serves as an important point of coordination among the Management Executive, board members, residents, building staff, vendors, and internal departments.
The ideal candidate is detail-oriented, responsive, and comfortable managing multiple priorities in a fast-paced environment. Success in this role requires strong communication, sound judgment, reliable follow-through, and the ability to anticipate what needs to happen next.
What You’ll Do
- Support the Management Executive with day-to-day building operations, resident requests, and property-related follow-up.
- Prepare, edit, and distribute correspondence, memos, meeting materials, action lists, notices, and emails.
- Attend board meetings and prepare accurate meeting minutes, as needed. Meetings may occur in the evening or before standard business hours.
- Maintain organized electronic and hard-copy records, including filing, scanning, copying, and document retention.
- Prepare adjustment forms, check requisitions, and other administrative documentation.
- Manage calendars for building events and coordinate meetings, appointments, and site visits.
- Communicate with vendors to schedule meetings, request proposals, obtain proof of insurance, and follow up on open items.
- Coordinate with building staff and internal departments, including Finance, Accounts Receivable, Accounts Payable, Sales & Leasing, and Project Management.
- Review open invoices for discrepancies or missing information and coordinate resolution with the appropriate parties.
- Review collection and arrears reports and conduct professional follow-up with residents or shareholders who have outstanding balances.
- Compile and distribute monthly board packages and other time-sensitive materials.
- Order and maintain building supplies, as needed.
- Track outstanding requests, deadlines, and action items to ensure timely completion.
What You’ll Bring
- At least two years of administrative, property management, real estate, customer service, or related professional experience preferred.
- Strong organizational and time-management skills, with the ability to prioritize competing deadlines.
- Excellent written and verbal communication skills and a professional, service-oriented approach.
- High attention to detail and a consistent commitment to accuracy and follow-through.
- Ability to take initiative, anticipate needs, and work independently while collaborating effectively with others.
- Comfort handling confidential or sensitive information with discretion.
- Proficiency in Microsoft Word, Excel, Outlook, and general office technology.
- Experience supporting residential cooperative or condominium properties is a plus.
- College degree or an equivalent combination of education and relevant experience preferred.
Schedule & Work Environment
- This is a full-time, on-site position based in our New York City office.
- The role requires flexibility to attend an average of two to three board meetings per week, which may take place during evening hours or before the standard workday.
- Occasional travel to managed properties within New York City may be required.
Compensation & Benefits
Annual Salary Range: $60,000–$70,000 annually, depending on experience
