At Aaron’s Estate Sales, we help families navigate some of life’s biggest transitions — losing a loved one, moving into assisted living, settling an estate, or simply starting a new chapter. The Role
This is the backbone of our entire operation. As a Client & Production Services Representative, you are the full support system for our estate sale department. You make sure clients are taken care of from the day they sign their contract through the day they receive their check. You make sure every sale is staffed, supplied, and organized before the team walks through the door. You keep the schedule tight, the supplies stocked, the data clean, and the clients happy.
You’ll split your time between office work (client calls, scheduling, accounting, supply management, data entry) and field work (estate sale support, home walkthroughs, pickups, and on-site coordination). This is not a sit-at-a-desk-and-do-nothing job. You will be on the phone with clients — including sensitive conversations with families going through difficult times. You will be in people’s homes. You will be solving problems in real time. If you like variety, responsibility, and seeing the direct results of your work, this is a great fit.
What You’ll Do: Client Communication & Service
- Make welcome calls to new clients within 24 hours of signing their contract
- Walk clients through the estate sale process and answer their questions — many of our clients are going through difficult life transitions, and you need to handle every conversation with empathy and professionalism
- Maintain ongoing communication with clients leading up to their sale date
- Call clients after their sale with results and payment information
- Collect positive reviews from satisfied clients
- Handle post-sale client issues — refunds, disputes, concerns — calmly and professionally, even when emotions are running high
Estate Sale Support & Operations
- Help build and maintain weekly staff schedules for all sales and events
- Track and manage supply inventory — make sure every sale has what it needs and nothing gets wasted or lost
- Submit purchase orders, manage vendor relationships for supplies, and keep accurate records of what comes in and goes out
- Schedule and complete home walkthroughs (scopes) with clients before their sales
- Document scope details with photos and notes so the sale team has everything they need before they arrive
- Coordinate cleanouts, pickups, and post-sale logistics
Office & Administrative
- Work extensively in Microsoft Excel, Outlook, and Teams every day — you need to be comfortable building spreadsheets, managing email, and keeping organized digital records
- Enter and maintain data in our systems (EstatePro, Microsoft Teams, CompanyCam)
- Process estate sale accounting — import payment data, verify daily totals, prepare client payment breakdowns
- Verify employee timecards and calculate labor costs and commissions
- Prepare the weekly production plan for the Monday morning team meeting
Field Work
- Conduct in-person home walkthroughs to assess estate sale properties
- Support estate sale setup, execution, and teardown as needed
- Assist with pickups, deliveries, and cleanout coordination
- Handle jewelry and high-value item intake and sorting at the office
What We’re Looking For
- Highly organized — you manage multiple clients, schedules, and deadlines at once without dropping the ball. You naturally keep things in order.
- Proficient in Microsoft Excel, Outlook, and the Microsoft Office suite — this is not optional. You will live in spreadsheets, email, and Teams. You need to be comfortable, not just capable.
- Excellent with clients — including difficult ones. Our clients are often going through the hardest moments of their lives. You need to handle emotional conversations, frustrated clients, and tense situations with patience, empathy, and professionalism. If conflict makes you shut down, this is not the right role. If you stay calm and find solutions when things get heated, we want to talk to you.
- Strong phone skills — you’re comfortable calling clients and having real conversations, not hiding behind texts and emails
- Reliable and punctual — you show up on time, every time, without reminders
- Professional appearance and demeanor — you’re going into people’s homes and representing our company
- Physically able to handle field work — standing, walking, and lifting up to 50 lbs
- Valid driver’s license and reliable transportation
- Motivated by meaningful work — you want to be part of a company that genuinely helps families, and you want your work to matter
Bonus (Not Required)
- Experience in estate sales, auctions, or property management
- Customer service experience, especially in high-emotion or client-facing environments
- Experience with scheduling, logistics, or inventory management
- Knowledge of antiques, jewelry, or collectibles
Growth Opportunity
We’re hiring three people for this role. Within the first 60–90 days, the person who steps up and takes the most responsibility will be promoted to Senior Client & Production Services Manager at $20/hour. This person will lead the team, own the schedule and job board, and be the go-to person for client escalations. We’re looking for someone who earns it, not someone who interviews for it.
Schedule & Expectations
This is a 35-hour-per-week position. You’ll be based out of our office in Southeast Michigan, but estate sales happen in people’s homes across the region. Expect a mix of office days and field days. During busy season, there may be additional hours and weekend work. All staff must be willing and able to work in the field when needed — this is not an office-only position.
