Responsibilities
- Greet visitors warmly and direct them appropriately, ensuring a positive first impression.
- Manage multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette.
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace.
- Maintain organized filing systems, update records, and perform proofreading to ensure document accuracy.
- Support office management activities including calendar management, appointment scheduling, and basic bookkeeping with QuickBooks.
- Assist with clerical duties such as photocopying, faxing, and managing incoming/outgoing correspondence.
- Provide exceptional customer support by addressing inquiries promptly and professionally while maintaining a friendly demeanor.
Requirements
- Proven experience in office management or front desk roles, preferably within medical or dental reception settings.
- Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and typing skills.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Bilingual abilities are highly desirable to serve diverse client populations.
- Experience with multi-line phone systems, customer service, and administrative tasks such as filing and proofreading.
- Knowledge of clerical procedures including calendar management, filing systems, and office software tools.
- Demonstrated professionalism in phone etiquette and customer support interactions.
- Previous experience in bookkeeping or personal assistant roles is a plus but not required.
