Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee office supplies inventory, coordinate procurement, and maintain filing systems for easy access and organization
- Handle data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, including proofreading documents for clarity and correctness
- Support calendar management and scheduling for meetings, appointments, and events using calendar tools; assist with personal assistant duties as needed
- Provide excellent customer support by responding promptly to inquiries via phone or email, ensuring positive interactions at all times
- Perform clerical duties such as photocopying, scanning, faxing, and maintaining organized records of client files and administrative documents
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and manage basic financial records
Qualifications
- Proven office experience with strong organizational skills and the ability to multitask efficiently in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy
- Experience with data entry, filing systems, and document proofreading to ensure accuracy and professionalism
- Excellent customer service skills combined with effective phone etiquette; bilingual abilities are a plus for diverse communication needs
- Technical proficiency in managing multi-line phone systems and familiarity with office management tools or software
- Prior experience as a dental or medical receptionist or personal assistant is advantageous but not required
- Strong time management skills with the ability to prioritize tasks effectively while maintaining productivity software expertise such as typing speed and calendar management
