About the Role
We’re seeking a reliable, highly responsible and detail-oriented individual to join our team as a Bilingual Clinical Office Admin Associate for our closing shift. This position is ideal for someone seeking an entry-level medical office role, such as a medical/healthcare student who can reliably commit to a consistent schedule. The ideal candidate is highly responsible, values structure, and takes pride in maintaining a clean, organized workspace. This role also requires understanding the importance of closing a medical office at the end of the day with care and attention to detail.
This is not a casual job. We’re looking for someone serious about their work, committed to consistent attendance, punctuality and able to take initiative and demonstrate responsibility. Because this person will close the clinic, maturity, trustworthiness, and reliability are essential.
Schedule
- Set Hours (Non-flexible): Mondays and Wednesdays , 3 PM - 7 PM
- Part-Time | 8 hours per week
Key Responsibilities
- Greet families and patients in a warm, professional manner
- Answer and return calls, take messages, and confirm appointments
- Schedule and reschedule sessions (often in Spanish)
- Manage patient onboarding and update records in a timely manner
- Coordinate with doctors’ offices to request documents and prescriptions
- Track therapy authorizations and assist with light billing tasks
- Ensure the front office, lobby, bathroom, and other shared areas are clean and orderly at all times
- Perform daily duties, including:
- Cleaning and wiping down surfaces
- Sweeping and mopping the bathroom, hallways and lobby
- Taking out trash
- Maintain supply levels and report when items need restocking
- Take initiative to resolve minor issues without waiting to be told

✔ Spanish proficiency required (majority of our families are Spanish-speaking)
✔ Familiarity with Google Workspace (Docs, Sheets, Calendar)
✔ Prior administrative experience preferred, but not required
This position requires a high level of responsibility. We are trusting the individual hired with closing duties and access to clinic keys.
