We are seeking a highly organized, detail-oriented, and proactive Litigation Legal Assistant to support our litigation attorneys and paralegals in a fast-paced plaintiff personal injury practice. This position plays a critical role in ensuring cases progress efficiently through litigation, settlement, and closing while maintaining exceptional client service and strict compliance with court deadlines.
Key ResponsibilitiesLitigation & Case Support
- Review trial orders with the litigation paralegal and accurately calendar all court deadlines, hearings, conferences, and litigation events.
- Maintain and manage attorney calendars, including:
- Entering all court dates and deadlines
- Uploading required documents for each event
- Obtaining hearing links
- Scheduling and coordinating Zoom hearings and meetings
- Coordinate and schedule depositions, mediations, hearings, conferences, and litigation meetings with: Clients, Opposing counsel, expert witnesses
- Prepare deposition, mediation, hearing, and trial binders as requested by attorneys.
- Provide administrative and litigation support to attorneys and paralegals.
- Contact clients to schedule depositions, mediations, litigation meetings, and other court-related appointments.
- Upon transfer of a case to litigation, contact the client to schedule the initial litigation meeting with the assigned attorney.
- Upload motions, responses, and other required documents to the Judge's hearing docket as directed by the litigation paralegal.
- Request, obtain, and follow up on medical records and billing from healthcare providers.
- Continue assisting the Property Damage Department as assigned.
Settlement & Case Closing
- Follow up on settlement checks and executed releases.
- Confirm whether client signatures are required before settlement funds are issued.
- Prepare, update, and finalize settlement statements.
- Submit and follow up with ZipLiens on applicable cases.
- Draft, request, and negotiate reductions with medical providers and health insurance lienholders.
- Confirm whether clients prefer settlement checks mailed or picked up in person.
- Verify case costs with the Office Manager before finalizing settlement statements.
- Obtain attorney and supervisor approval for all settlement statements.
- Prepare approved settlement statements for check processing.
- Send settlement statements to non-local clients through DocuSign.
- Email or fax executed releases to insurance carriers.
- Verify client identification prior to check preparation.
- Schedule and calendar settlement check pickup appointments.
- Prepare copies of settlement checks and closing documents.
- Draft and mail provider settlement checks.
- Scan and save all closing documents into ATO.
- Notify the Office Manager upon completion of all closing requirements so the file can be officially closed.
Qualifications
- Fluent in both English and Spanish (Required).
- Minimum of 2 years of litigation legal assistant experience, preferably in a plaintiff personal injury law firm.
- Strong calendaring experience with court deadlines, hearings, depositions, mediations, and attorney schedules.
- Experience using NYSCEF, PACER, and other state and federal court e-filing systems is strongly preferred.
- Thorough understanding of litigation procedures, court rules, and deadline management.
- Experience preparing settlement statements and working with medical liens is preferred.
- Excellent organizational skills with the ability to prioritize multiple deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- High level of accuracy, professionalism, and attention to detail.
- Proficiency with legal case management software, ATO (preferred), DocuSign, Microsoft Office, Zoom, and document management systems.
