Plumbing Dispatcher / Office Coordinator
Flow Pros Plumbing Inc. is seeking an experienced Plumbing Dispatcher / Office Coordinator to join our team in Miami-Dade County. We are looking for someone who is organized, dependable, professional, and comfortable working in a fast-paced plumbing service environment.
The ideal candidate must have previous dispatching experience, preferably with a plumbing, HVAC, electrical, construction, or home-service company.
Responsibilities
- Answer incoming customer calls professionally and gather accurate job information
- Schedule and dispatch plumbers based on location, availability, and job priority
- Maintain communication with customers and field technicians throughout the day
- Provide customers with appointment confirmations and arrival updates
- Create and update customer profiles, work orders, estimates, and invoices
- Follow up on unsold estimates, pending approvals, and outstanding balances
- Assist with collecting payments and confirming deposits
- Maintain an organized daily dispatch board and office schedule
- Communicate job details clearly to technicians
- Perform data entry, filing, document preparation, and other general office duties
- Assist with permit paperwork, vendor coordination, material orders, and customer follow-ups as needed
- Help resolve scheduling conflicts and customer concerns professionally
Requirements
- Previous dispatching experience is required
- Experience with a plumbing or home-service company is strongly preferred
- Strong telephone, communication, and customer-service skills
- Ability to multitask and remain organized under pressure
- Comfortable working with computers, email, scheduling software, and mobile applications
- Accurate data-entry and recordkeeping skills
- Reliable attendance and punctuality
- Ability to work independently and take initiative
- Professional attitude and appearance
- Bilingual English and Spanish is strongly preferred
Experience with Housecall Pro, ServiceTitan, Workiz, QuickBooks, Square, or similar software is a plus.
