The Law Office of J. L. Bell, PLLC is seeking a reliable, organized, and professional Legal Assistant/Office Manager to join our growing law firm. This position is ideal for someone who enjoys helping people, thrives in a fast-paced environment, and has excellent organizational and communication skills.

- Monday-Friday (In-Person Position)
Responsibilities
- Answer incoming telephone calls and greet clients in a professional and courteous manner.
- Assist with new client intake and onboarding.
- Assist with preparing and sending documents and handling correspondence for prospective clients during the intake and onboarding process.
- Schedule consultations, client meetings, mediations, court settings, and other appointments.
- Prepare trial binders, exhibits, and other court materials.
- Organize, review, and compile potential evidence for hearings, mediations, and trials.
- Maintain and organize physical and electronic client files.
- Draft, proofread, and send routine correspondence.
- Assist attorneys with administrative and case management tasks.
- Perform general office duties to ensure the smooth operation of the office.
- Assist current and prospective clients with billing questions and payment inquiries.
- Generate and send electronic invoices to clients.
- Process incoming and outgoing mail, including preparing and tracking certified mail with return receipt requested.
- Monitor office supply inventory and assist with ordering supplies to ensure the office remains fully stocked.
- Assist with collecting and organizing weekly employee timesheets for payroll processing.
- Ensure all court dates, hearings, mediations, consultations, and other important deadlines are accurately entered and maintained on the firm's calendar and shared with client.
- Assist with client engagement and retention.

- Prior law office or administrative experience is preferred but not required.
- Must be dependable, punctual, and customer-service oriented.
- Must be able to successfully pass a background check.
- Experience in a law office or other professional office environment is preferred.
- Bilingual (English/Spanish) preferred, but not required.
