Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our executive leadership team. This key role will provide high-level administrative support to the Chief Executive Officer (CEO) and Chief Operating Officer (COO), ensuring smooth daily operations and efficient coordination across departments. The ideal candidate will have strong communication skills, the ability to multitask in a fast-paced environment, and a professional demeanor with a high degree of confidentiality.
Key Responsibilities:
- Executive Support: Proactively manage the daily calendars, appointments, and schedules of the CEO and COO, coordinating a wide range of meetings with government agencies, external partners, program teams, and internal staff.
- Liaison Duties: Serve as the primary point of contact with external vendors, contractors, and government agencies for matters related to program operations and business transactions.
- Correspondence Management: Draft, organize, and respond to various communications on behalf of the CEO and COO, including emails and physical mail. Prioritize and distribute incoming correspondence as needed.
- Reception & Office Coordination: Greet and screen visitors and incoming phone calls; respond to inquiries in a professional and courteous manner. Take accurate messages and direct communication appropriately.
- Meeting Coordination: Organize and schedule meetings (in-person, virtual, or phone); manage meeting logistics and record attendance and meeting minutes.
- Administrative Tasks: Support general office administration, including document management, filing, photocopying, and printing.
- Special Projects: Assist with special projects and perform additional duties as assigned to support executive and organizational needs.
Qualifications:
- Bachelor’s degree, preferably in Communications, Business Administration, or a related field
- Minimum of 2 years of experience as an Executive or Administrative Assistant, preferably in the social services or nonprofit sector
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Exceptional organizational and multitasking skills
- Strong verbal and written communication abilities
- Ability to handle sensitive information with discretion and professionalism
- Demonstrated problem-solving abilities and attention to detail
- Positive attitude, dependable work ethic, and strong interpersonal skills

Pay: From $60,000.00 per year
