Administrative Assistant – St. Catherine Hospital

Position Summary
The Administrative Assistant supports the Vice President of Nursing Administration (CNO). This highly visible role requires independent judgment, strong technical skills, and the ability to coordinate complex administrative functions across Powers Health.
Key responsibilities include managing schedules, coordinating meetings and travel, preparing reports and presentations, maintaining filing systems, supporting special projects, and serving as a professional point of contact for internal and external stakeholders.
Job Responsibilities
- Executive Support — Provide comprehensive administrative and secretarial support to senior leaders.
- Project Coordination — Assist with special projects, events, and crossdepartment initiatives.
- Document Management — Create, update, and maintain manual and electronic filing systems.
- Communication Support — Draft correspondence, prepare reports, and support presentations.
- Scheduling & Logistics — Coordinate meetings, travel arrangements, training sessions, and calendars.
- Customer Service — Provide professional, courteous support to staff, physicians, and external partners.
- Confidentiality — Handle sensitive information with discretion and compliance.
- Technology Utilization — Use Microsoft Word, Excel, Outlook, PowerPoint, and Epic to streamline daily operations.

Education/Experience
- Education: High school diploma or GED required.
- Associate degree or business/secretarial certificate preferred.
- Experience:
- 3–5 years administrative support experience (executive-level preferred).
- Healthcare or IT experience preferred.
- Technical Skills:
- Advanced proficiency in Microsoft Word, Excel, Outlook, PowerPoint; Visio preferred.
- Ability to operate office equipment (copiers, multi-line phones, fax machines).
- Typing speed 50–65 wpm with strong accuracy and proofreading skills.
- Professional Skills:
- Strong interpersonal, written, and verbal communication skills.
- Excellent organization, time management, and multitasking abilities.
- Professional appearance, demeanor, and customer service mindset.
- Ability to maintain confidentiality and work with minimal supervision.
