We are seeking a dynamic and highly organized Construction Office Manager to oversee the administrative and operational functions of our construction projects. Duties
- Manage all administrative operations related to construction projects, including scheduling, filing, and record keeping.
- Oversee vendor management, including procurement, invoicing, and maintaining positive relationships with suppliers and subcontractors.
- Coordinate project schedules, track deadlines, and ensure timely completion of tasks through effective schedule management.
- Supervise clerical staff and support team members in office tasks such as phone etiquette, front desk duties, and multi-line phone systems.
- Handle human resources functions including onboarding, training & development, payroll processing, and employee record maintenance.
- Utilize financial software such as QuickBooks for budgeting, bookkeeping, and financial tracking related to project expenses.
- Maintain accurate project documentation, including contracts, change orders, RFIs (Requests for Information), and progress reports.
- Support office management activities by overseeing filing systems, calendar management for project timelines, and ensuring smooth communication across teams.
- Assist with medical office management tasks if applicable to project sites or company health initiatives.
- Promote a collaborative team environment through effective communication skills and technical proficiency in office tools.
Qualifications
- Proven experience in office management within the construction or related industry.
- Strong supervisory experience with the ability to lead administrative teams effectively.
- Proficiency with QuickBooks or similar financial software for budgeting and payroll management.
- Excellent organizational skills with keen attention to detail in scheduling and document control.
- Experience with vendor management, contract administration, and procurement processes.
- Background in human resources functions such as onboarding, training & development, and employee relations.
- Familiarity with bookkeeping practices and basic accounting principles relevant to construction projects.
- Office experience involving clerical duties like filing, front desk operations, multi-line phone systems, and calendar management.
- Ability to communicate clearly and professionally across diverse teams; strong phone etiquette is essential.
- Technical proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software tools.
- Knowledge of medical office management or healthcare-related project support is a plus but not required.
