Job Description: Immediate part time Accounts Payable / Administrative Assistant / Accounts Receivable as needed position available at a mid-size Architectural and Engineering firm. We have some flexibility to work around school or other schedules. Ideal candidate would be able to provide support to bookkeeper and reception / archiving.
Requirements: Excellent organizational skills, people oriented and self-motivated. Ability to work in a fast-paced dynamic environment while remaining flexible and supportive.
- Knowledge of generally accepted accounting principles and procedures (GAAP)
- Minimum of 1+ years of accounts payable / accounting support experience preferred.
- Proficiency in Microsoft Office
- Ten Key calculator skills a must

Essential Functions:
Accounts Payable/ Admin Assistant:
- Support Business Manager with A/P tasks including mail sorting, filing, and A/R as needed.
- Process accounts payable invoices, ensuring timely, accurate data entry and account coding of invoices into the accounting system, and preparing weekly check runs.
- New vendor set up and maintenance
- Reconcile vendor statements
- Manage vendor relationships and resolve any discrepancies or issues related to payments.
- Communicate with vendors to verify and update account details
- Secure and maintain required documentation for vendors such as W-9’s and prepare and process EOY 1099’s.
- Reconcile company credit card transactions and manage receipt tracking as needed.
- Assist with maintaining both manual and electronic filing systems.
- Provide support to our Billing Coordinator.
Filing and Archives: Manage procedures for recordkeeping systems, forms control, active and archive project databases, including maintenance, retention, storage, protection, retrieval, transfer, and disposal of records.
Reception: Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries. Manage office supplies and inventory.
General: Contributes to team effort by accomplishing related tasks as needed. Provide support to Executive team as needed. Perform other related duties as needed.

Compensation: $20 - $23, benefits depend on hours worked weekly. Education reimbursement is available if eligible.
