JOB SUMMARY: The Administrative Assistant is responsible for the overall clerical support of the department and the program Director.
RESPONSIBILITIES:

Manage daily administrative tasks, including answering and directing phone calls, scheduling, and organizing documents.

Coordinate meetings and events and prepare agendas.

Assist in project management by tracking deadlines and facilitating communication amongst team members.

Handle expense reporting, invoicing, and basic accounting tasks.

Communicates effectively with vendors, patrons, other tribal departments/staff, providing excellent customer service.

Maintain office supplies and manage inventory.

Researching travel options, preparing itineraries, and preparing travel requests and documentation as required.

Arranging and attending meetings as required.
-
Performing basic data entry as required.

Prepares correspondence as requested.

Managing calendars, sorting mail, and preparing Accounts Payable Vouchers.

Providing administrative support for managers, employees, and office visitors.
-
All other duties assigned.
QUALIFICATIONS:

Must possess a High School Diploma or GED equivalent
-
Preferred education: associate degree in business administration or related field.
- Must possess at least six (6) months of work experience in an office setting.
- Must be knowledgeable in Microsoft word, excel, and power point software.
REQUIREMENTS:

Must possess a valid driver's license and be insurable under the Kiowa Tribe’s motor vehicle policy.

Must be willing to submit to and pass drug testing.
- Must be willing to submit to and pass a background investigation which reflects good moral character.
PHYSICAL DEMANDS AND WORKING CONDITIONS:

Job duties will primarily be completed in an office setting.
- Must be able to lift a minimum of ten (10) lbs.

Occasionally in-state and out of state travel may be required.
- May be required to complete job duties in various weather climates based upon the circumstance.
- Must be able to sit and stand for long intervals to complete job duties.
