We are seeking an experienced Executive Assistant & Family Office Operations Manager to serve as the trusted right hand to a successful business owner and family.

The ideal candidate has experience supporting a senior executive, entrepreneur, principal, or family office and enjoys balancing executive support with household operations, property coordination, travel management, family logistics, and special projects.

- Manage a complex and frequently changing executive calendar while protecting priorities and proactively resolving scheduling conflicts.
- Coordinate meetings, prepare agendas and materials, and track action items through completion.
- Draft, organize, and manage executive correspondence, presentations, reports, and confidential documents.
- Support ongoing projects across multiple business entities.
- Track invoices, expenses, subscriptions, renewals, and recurring business obligations.
- Serve as the primary liaison with attorneys, accountants, financial advisors, vendors, business partners, and community organizations.
- Handle highly confidential business and personal matters with professionalism and discretion.
- Coordinate household vendors, maintenance, repairs, landscaping, cleaning services, deliveries, and service appointments.
- Manage household calendars, appointments, school commitments, family events, and daily logistics.
- Assist with errands, purchasing, organizational projects, and event planning.
- Maintain clear task lists, priorities, and follow-up systems while simplifying communication.
- Provide concise updates on completed work, outstanding items, and upcoming priorities.
- Coordinate maintenance, repairs, vendors, and tenant needs across multiple residential and vacation properties.
- Track leases, utilities, insurance, licenses, HOA requirements, and renewal deadlines.
- Monitor property expenses, invoices, receipts, and budgets.
- Ensure vendors meet expectations for quality, timeliness, and completion.
- Maintain organized reporting and close out outstanding issues promptly.
- Research and coordinate tutors and educational resources.
- Assist with school communications, testing schedules, extracurricular activities, and college preparation timelines.
- Maintain professionalism and confidentiality regarding family matters.
- Coordinate administrative needs related to equestrian activities, including invoices, registrations, supplies, leases, and scheduling.
- Manage appointments with trainers, boarding facilities, veterinarians, and farriers.
- Provide administrative coordination for household pets and animal-related services as needed.
- Plan and coordinate domestic and international travel, including flights, accommodations, transportation, activities, and detailed itineraries.
- Anticipate travel needs while managing budgets responsibly.
- Provide remote administrative support while family members are traveling.
- Minimum 5 years of experience supporting a senior executive, entrepreneur, business owner, principal, or family office.
- Proven success managing complex calendars, competing priorities, confidential information, and high-level executive support.
- Exceptional organizational skills with outstanding attention to detail.
- Strong written and verbal communication skills.
- Demonstrated ability to anticipate needs, solve problems independently, and exercise sound judgment.
- Professional experience balancing both business and personal responsibilities.
- Advanced proficiency with Microsoft Office Suite, Outlook, digital calendars, and electronic filing systems.
- Valid driver's license with reliable transportation.
- Flexibility to accommodate changing priorities and schedules.
- Experience supporting a family office, private household, or high-net-worth individual.
- Rental property, vacation property, or household operations management experience.
- Executive travel planning with complex domestic and international itineraries.
- Experience with expense tracking or light bookkeeping using QuickBooks, Acumatica, or similar software.
- Background in project management, hospitality, nonprofit organizations, or event planning.
- Administrative experience supporting equestrian, farm, or animal-related operations.
