WHO WE ARE LOOKING FOR: We are seeking a dependable, detail-oriented, and seasoned office professional to join our procurement team as a part-time Purchasing Assistant. This position offers a stable, long-term opportunity (minimum 1-year commitment) within a supportive manufacturing environment—ideally suited for an experienced administrative professional or someone seeking a steady, predictable part-time role while balancing family life or personal commitments.
Working directly alongside our Purchasing Manager, you will serve as the administrative backbone of our purchasing department. You will initially take ownership of daily record-keeping, filing, purchase order tracking, and vendor communications. For a candidate seeking long-term professional growth, this role includes direct mentorship in modern supply chain management, logistics, and data analytics tools such as Microsoft Power BI and advanced Excel.
Schedule: Part-Time (20 hours per week); steady, predictable weekday schedule to be finalized with the hiring manager.
REQUIRED QUALIFICATIONS:
- Professional Background: Proven track record in an office administrative, clerical, customer service, or data entry role within a professional office setting.
- Organizational & Administrative Strength: Seasoned habits in managing physical and digital paperwork, scanning, systematic filing, and maintaining clean, audit-ready records.
- Strong Communication Skills: Professional, clear written and verbal communication to confidently interact with vendors and collaborate with internal departments.
- Technical Familiarity: Solid working knowledge of standard office tools, including Microsoft Outlook, Word, and basic Excel (entering data, sorting, and simple formatting).
- Reliability & Longevity: Seeking a steady, dependable part-time position with a commitment of at least 1 year.
- The Bonus (Not Required): Prior experience in a manufacturing or distribution office, or exposure to ERP systems (such as Deacom, NetSuite, or SAP).
WHAT THE ROLE INVOLVES:
- Document Management & Filing: Lead the daily scanning, digital filing, and systematic organization of procurement documents, invoices, and supplier paperwork to ensure records are accurate and easily accessible.
- Purchase Order Tracking & Expediting: Monitor open purchase orders, maintain status updates, and proactively follow up with suppliers regarding order confirmations, shipping details, and delivery timelines.
- Internal Stakeholder Communication: Act as an administrative liaison between purchasing and key internal teams—including Customer Service, Quality, and the Production Manager—to share order statuses, answer inquiries, and resolve material delays.
- Vendor Coordination & Compliance: Communicate directly with vendors to request, track, and file necessary product documentation and Certificates of Analysis (COAs).
- Growth & Mentorship (Phase 2): Once daily administrative workflows are mastered, you will receive hands-on training in supply chain planning, purchasing negotiation, logistics, and building reporting dashboards in Power BI.
